Learn About Microsoft 365 Family Plans

What Is Microsoft 365 Family and How It Works

Microsoft 365 Family is a subscription service that provides access to Microsoft Office applications and cloud storage for up to six people in one household. When you purchase a Microsoft 365 Family subscription, each member of your household receives their own account and can use the software on multiple devices. The subscription costs $100 per year as of 2024, though prices may vary by region and promotional offers.

The service includes access to familiar applications like Word, Excel, PowerPoint, and Outlook. These programs allow you to create documents, spreadsheets, presentations, and manage emails. Each person in your Family plan gets 1 terabyte of cloud storage through OneDrive, which is Microsoft's storage service. This means you can save your files to the cloud and access them from different devices — your computer, tablet, or phone.

Microsoft 365 Family works across Windows and Mac computers. If you use an Apple device, you can still use Microsoft 365 applications, though some features may differ slightly. Mobile versions of Office apps are also available for phones and tablets, though the full desktop versions offer more powerful tools for complex work.

The subscription renews automatically each year. You can manage your subscription through your Microsoft account online. If you want to cancel or change your plan, you can do so through your account settings at any time.

Practical takeaway: Microsoft 365 Family splits the cost among up to six people, making it less expensive per person than buying individual licenses. If you live with family members or roommates who all use Office applications, this plan may reduce what each person spends.

Applications Included in Your Subscription

Microsoft 365 Family includes the full desktop versions of Word, Excel, PowerPoint, and Outlook. Word is a word processor used for creating documents, letters, resumes, and reports. Excel is a spreadsheet program that helps organize data, perform calculations, and create charts. PowerPoint allows you to build presentations with slides, images, and animations. Outlook manages your email, calendar, and contacts in one place.

Beyond these core applications, Microsoft 365 Family also includes Access and Publisher on Windows computers. Access helps you create and manage databases — organized collections of information. Publisher is used for designing newsletters, brochures, and marketing materials. Mac users receive Word, Excel, and PowerPoint, but not Access or Publisher, as these applications are designed primarily for Windows.

The subscription also provides web-based versions of these applications through Office.com. These online versions work in any web browser and allow you to create and edit documents without installing software on your computer. While the web versions have fewer features than the desktop programs, they work well for basic tasks and allow sharing and collaboration.

Other services included are OneDrive (cloud storage), Skype minutes (a set amount of calling time each month), and Microsoft Teams features. Teams is a communication platform used for messaging, video calls, and file sharing. OneDrive integration means your files save automatically to the cloud, protecting them from computer failures.

Practical takeaway: Review which applications matter most to your household. If you mainly need Word and Excel, Microsoft 365 Family covers your needs. If you use specialized software like database management, Access may be valuable. The web versions work on any computer without installation, making them useful when you cannot install software.

Device Support and Usage Rules

Microsoft 365 Family allows each of the six household members to install Office applications on multiple devices. You can install the software on up to five devices per person, which means you could theoretically use it on ten devices if two people in your household each use five. The applications work on Windows computers running Windows 10 or later, and Mac computers running the most recent versions of macOS.

For mobile devices, you can use Office apps on phones and tablets running iOS or Android. The mobile versions function differently from desktop versions — they have a touch-friendly interface and fewer advanced features. Editing is straightforward on mobile devices, though complex formatting or extensive data analysis works better on a computer.

When you sign into your Microsoft account on a device and install Microsoft 365, that device is linked to your account. You need to sign in with your Microsoft email address and password. Microsoft tracks which devices your account uses to prevent misuse. If you sign in from a completely new device or location, Microsoft may ask you to verify your identity for security reasons.

The subscription is personal to each household member. You should not share your password with people outside your household. Each person should have their own Microsoft account. If someone moves out of your household or you want to remove them from your subscription, you can manage this through your Microsoft account settings.

Practical takeaway: Consider what devices you and your household members use. If everyone has a computer and a phone, you have room for additional devices. Set up each person with their own account to keep their files separate and maintain security. Test the mobile apps before your subscription starts to understand how they differ from the desktop versions.

Cloud Storage and File Sharing Features

Every person on a Microsoft 365 Family plan receives 1 terabyte of OneDrive storage. A terabyte equals 1,000 gigabytes. For comparison, a typical photo takes about 2-5 megabytes, so one terabyte could store hundreds of thousands of photos. Word documents are much smaller — usually less than 1 megabyte — so this storage amount allows for extensive document collections.

OneDrive stores your files in Microsoft's data centers rather than only on your computer. This approach offers several advantages. If your computer breaks or fails, your files still exist in the cloud. You can access them from any device. You can also share files with other people by sending them a link, even if they do not have Microsoft 365. The person you share with can view or edit the file depending on the permissions you set.

When you save a file to OneDrive from Word, Excel, or PowerPoint, the application automatically syncs the file to the cloud. This means the cloud version updates continuously as you work. If you work on a document from multiple devices, you see the most recent version each time you open it. This feature is called version history — you can also see and restore previous versions of a document if needed.

Microsoft 365 includes sharing and collaboration tools built into Office applications. Multiple people can edit the same document at the same time using the online versions or desktop versions with OneDrive sync enabled. You can see who else is working on the document and what changes they are making in real time. Comments and tracked changes allow people to suggest edits and discuss content within the document.

Practical takeaway: Use OneDrive as your primary location for saving important files. Organize your files in folders by project or category to stay organized. When you need feedback from family members or colleagues, share a document link rather than emailing versions back and forth. This reduces confusion about which version is current and allows everyone to see updates immediately.

Comparing Microsoft 365 Family to Other Options

Microsoft offers several subscription options beyond Microsoft 365 Family. Microsoft 365 Personal costs $70 per year and is for one person only. It includes the same applications and 1 terabyte of storage as Family, but you cannot share it with household members. If three people in your household each bought Personal subscriptions, they would spend $210 per year total, compared to $100 for one Family subscription. This makes Family significantly less expensive for households with multiple users.

Microsoft Office 2021 is a one-time purchase option that costs between $160 and $250 depending on which applications you choose. This is older software that does not receive ongoing updates or cloud features. You cannot share it with other people, and it works on only one computer. Over time, subscription-based plans become less expensive than one-time purchases, especially for households with multiple people.

Some people choose to use free online alternatives like Google Docs, Google Sheets, and Google Slides, which are part of Google Workspace. These programs work similarly to Microsoft Office but are browser-based only. They offer limited storage in free versions. For people who primarily work online and do not need advanced features, free options may be sufficient, though compatibility issues can occur when sharing files between Microsoft and Google formats.

Businesses and organizations sometimes use Microsoft 365 Business plans, which cost more but include additional security features, email hosting, and IT management tools. These are not designed for household use and include services most families do not need. If all household members work from home for different companies, Microsoft 365
