Learn About Getting a Tin Number

What Is a Tin Number and Why It Matters

A Tin number, officially known as a Taxpayer Identification Number, is a nine-digit code that the Internal Revenue Service (IRS) uses to identify individuals and businesses for tax purposes. The IRS assigns this number to track income, filing status, and tax obligations throughout a person's lifetime. Understanding what a Tin number is forms the foundation for comprehending how the U.S. tax system works and why this identifier matters in many financial situations.

The Tin number serves as a unique identifier in the federal tax system, much like a Social Security number does for Social Security benefits and other government programs. For most U.S. citizens and permanent residents, the Tin number is the same as their Social Security number. However, the Tin number has a broader scope of use beyond Social Security administration. Banks, employers, investment firms, and other financial institutions use the Tin number to report income and financial transactions to the IRS. Without this number, the IRS cannot properly track who earned what income and whether that person filed the required tax returns.

The concept of a Tin number became more standardized in 1988, when the IRS began requiring them on all tax returns and related documents. Before this time, some taxpayers could use alternative identification methods. According to IRS data, the agency currently processes more than 150 million individual tax returns annually, and the Tin number is central to this process. Without proper identification through a Tin number, the IRS cannot match income reports from employers and financial institutions to individual taxpayers.

Different types of Tin numbers exist depending on the entity involved. Individual taxpayers typically use Social Security numbers as their Tin. Self-employed individuals and business owners may use an Employer Identification Number (EIN), which is also a type of Tin. Non-resident aliens and other foreign nationals without Social Security numbers may receive an Individual Identification Number (ITIN). Understanding which type of Tin applies to a particular situation is important for tax compliance.

Practical Takeaway: A Tin number is the IRS's primary tool for identifying taxpayers. Most people use their Social Security number as their Tin, but business owners and certain non-citizens use different forms. Knowing what a Tin number is helps explain why various financial institutions request this information.

Types of Tin Numbers and Who Receives Them

The Internal Revenue Service issues several types of Tin numbers, each designed for different tax situations and entity types. Understanding which type applies to a specific situation is crucial for accurate tax reporting and financial documentation. The three main categories of Tin numbers are Social Security numbers (SSNs), Employer Identification Numbers (EINs), and Individual Identification Numbers (ITINs), each with distinct purposes and issuance procedures.

Social Security numbers serve as Tin numbers for most U.S. citizens, permanent residents, and temporary residents with work authorization. The Social Security Administration, not the IRS, actually issues these numbers through a separate application process. When a Social Security number is used for tax purposes, it functions as a Tin. Approximately 330 million Social Security numbers have been issued since the program's inception in 1936, according to the Social Security Administration. For the vast majority of American taxpayers, their Social Security number is their Tin number, and they never need to obtain a separate Tin identifier from the IRS.

Employer Identification Numbers (EINs) are nine-digit numbers assigned by the IRS to businesses, nonprofits, trusts, estates, and other organizational entities. Unlike Social Security numbers, EINs are issued directly by the IRS. Self-employed individuals who operate as sole proprietorships may use their Social Security number as their Tin, but many choose to obtain an EIN for business purposes. Partnerships, corporations, limited liability companies, and most other business structures are required to have an EIN. The IRS issues roughly 4 million EINs annually to new businesses and other entities. An EIN remains constant throughout a business's existence unless the business structure changes significantly.

Individual Identification Numbers (ITINs) serve as Tin numbers for non-residents, undocumented immigrants, dependents, and other individuals who do not have Social Security numbers but need to file taxes or report income to the IRS. The IRS began issuing ITINs in 1996. According to IRS estimates, approximately 16 million ITINs have been issued. An ITIN has the same nine-digit format as other Tin numbers but is structured differently. ITINs allow individuals without Social Security numbers to meet their tax obligations and report income from U.S. sources. These numbers are also used by spouses of U.S. citizens who file joint returns and some nonresident aliens with U.S. income.

Some taxpayers may need multiple Tin numbers. For example, an individual with a Social Security number might also have an EIN for their business. A sole proprietor might use their Social Security number on their personal tax return while using an EIN on business tax documents. This situation is legal and common, as long as each Tin number is used for its intended purpose. The IRS tracks which Tin numbers are associated with which tax returns and financial reports.

Practical Takeaway: Three main types of Tin numbers exist: Social Security numbers (for individuals), EINs (for businesses and organizations), and ITINs (for non-citizens and others without Social Security numbers). Determining which type applies depends on individual circumstances and whether a person is operating a business or filing as an individual.

How to Obtain or Verify Your Tin Number

The process for obtaining or verifying a Tin number depends on which type of Tin number applies to a person's situation. For individuals whose Tin is a Social Security number, the Social Security Administration handles issuance through its own application process at local Social Security offices. For those needing an EIN or ITIN, the IRS manages the process. Understanding the different pathways for obtaining these numbers prevents confusion and ensures people use the correct channels.

Individuals who already have Social Security numbers can verify their Tin by reviewing their Social Security card or checking documents that display the number. Pay stubs typically show the Social Security number used for tax purposes. Tax returns from previous years also display the Tin number. The Social Security Administration maintains records of issued numbers and can confirm a number's validity through its official website or by contacting local Social Security offices. Most people never need to formally "obtain" a Tin number as an adult because they received a Social Security number as children or when they first arrived in the United States with authorization to work.

Individuals applying for a Social Security number for the first time must visit a local Social Security office with required documentation. Acceptable documents include a birth certificate, passport, or state identification card. Individuals born outside the United States must also provide immigration documents showing legal status in the country. According to the Social Security Administration, approximately 14 million new Social Security numbers are issued annually to children and newly documented immigrants. The application process at Social Security offices is free, though it may take several weeks for the card to arrive after submission.

Business owners and self-employed individuals can obtain an EIN from the IRS through several methods. The fastest method is online through the IRS website, which provides immediate EIN assignment upon completion of the application. The online process takes approximately 15 minutes and is available to individuals with valid tax identification and U.S. mail addresses. Applicants can also obtain an EIN by mail, fax, or phone, though these methods take longer. Mail applications typically receive processing within four weeks. The IRS does not charge fees for EIN issuance, and the process is entirely free. Business owners should obtain their EIN before opening a business bank account or hiring employees.

Non-citizens and others who need an ITIN must complete IRS Form W-7, Application for IRS Individual Identification Number. This process typically requires submitting original documents or certified copies proving identity and residency through an authorized acceptance agent or IRS office. The IRS maintains a list of authorized acceptance agents at its website, including accountants, tax practitioners, and community organizations. Processing an ITIN application usually takes 6 to 11 months, though expedited processing may be available in certain circumstances. The IRS issues ITINs without charge, but some authorized acceptance agents may charge fees for preparation assistance.

To verify a Tin number without obtaining a new one, individuals can review official IRS correspondence, tax returns, W-2 forms from employers, or 1099 forms reporting income. Employers and financial institutions also have access to Tin numbers when they have provided them to these institutions. Anyone uncertain about their Tin number can contact the IRS directly through its website or
