Staffing agencies work as intermediaries between people seeking work and employers who need to fill positions. In the education sector, this typically means connecting teachers, substitute teachers, instructional aides, administrative staff, and other school employees with school districts and educational institutions. EduStaff specializes in placing staff members in K-12 schools, charter schools, and educational programs across multiple states.

The basic process works like this: schools contact staffing agencies when they need to fill positions, whether temporarily or permanently. The agency maintains a database of people looking for work. When a job opening matches someone's qualifications and availability, the agency makes a connection. If both parties agree to move forward, the staffing agency typically handles paperwork, payroll, and administrative tasks.

One key thing to understand is that staffing agencies do not directly employ most of their workers in the traditional sense. Instead, they place individuals as temporary or contract workers at schools. This arrangement has both advantages and disadvantages. Workers might gain flexibility, exposure to different school environments, and quick placement into roles. However, they may not receive the same benefits or job security as permanently hired school employees.

The education staffing industry fills a real need. According to the National Association of Education Offices, schools consistently report difficulty filling substitute teacher positions and finding qualified aides and support staff. During the 2022-2023 school year, many districts reported staffing shortages affecting their ability to provide consistent services to students. Staffing agencies help address these gaps by maintaining pools of available workers.

Practical Takeaway: Learning how staffing agencies operate helps you understand what to expect from the process and what responsibilities typically fall to you versus the agency. This knowledge lets you make informed decisions about whether this path aligns with your work preferences.

Types of Positions EduStaff Typically Offers

Substitute teaching positions represent a significant portion of placements through education staffing agencies. These roles involve stepping in for absent teachers and leading classes according to lesson plans provided by the regular teacher. Substitute teachers need at least a high school diploma or equivalent in most states, though many districts prefer some college coursework or a bachelor's degree. Day-to-day assignments offer flexibility but also variability in income and schedule.

Instructional aide and teaching assistant roles work directly with teachers to support classroom instruction. Aides might work one-on-one with students, manage classroom materials, monitor behavior, or help with small group instruction. These positions typically require a high school diploma and sometimes a certification such as a Paraprofessional or Title I certification. Pay rates vary but often range from $15 to $20 per hour depending on location and specific role.

Administrative and clerical positions in schools include receptionist roles, data entry, scheduling, and general office support. Schools always need people to handle phone calls, manage paperwork, and keep operations running. These roles usually require strong organizational skills, computer proficiency, and reliable communication abilities. No specialized education degree is typically needed.

Special education support positions assist students with disabilities in mainstream classrooms or specialized programs. These roles may require specific training or certification depending on the state and the students' needs. Special education aides often earn slightly more than general classroom aides, reflecting the additional skills required.

Other common placements include cafeteria and food service positions, custodial and maintenance roles, security and monitoring positions, and tutoring assignments. Transportation positions, such as bus driver roles, may also be available in some regions, though these typically require a commercial driver's license and additional certifications.

Practical Takeaway: Identifying which types of positions match your skills, experience, and interests helps you understand what opportunities might be within your reach and what additional training or certifications might expand your options.

Requirements, Qualifications, and Background Checks

Different positions have different requirements, and understanding these baseline expectations helps you assess whether you might proceed with an agency. This section describes what is commonly needed across education staffing roles.

Nearly all education positions require a background check. This is not optional—it is a legal requirement for anyone working around children. Background checks typically include a criminal history review, sex offender registry check, and fingerprinting. The specific requirements vary by state and school district. According to the National Center for Education Statistics, all 50 states require criminal background checks for school employees, and most also conduct fingerprint-based FBI checks. These checks usually take one to two weeks to complete.

Educational background requirements vary by role. Substitute teaching often requires a high school diploma or GED. Some districts or states may require 60 college credits or a bachelor's degree to substitute teach. Instructional aides typically need a high school diploma or equivalent. Administrative positions similarly require a high school diploma, with some requiring or preferring some college coursework. For specialized roles like special education aide positions, relevant certifications or previous experience are often preferred.

Health and immunization records are standard requirements. Schools require proof of immunity to certain diseases, typically measles, mumps, and rubella. You may need to provide vaccination records or proof of immunity testing. Some states and districts also require tuberculosis (TB) testing. According to CDC recommendations followed by schools nationwide, these health screenings protect students and staff.

Driver's license and transportation requirements depend on the role. For positions involving student transportation or significant travel between locations, you will need a valid driver's license. Some positions may require a commercial driver's license for bus driving or transportation coordinator roles.

References are often requested. Schools typically ask for previous employers or supervisors who can speak to your work history, reliability, and interactions with others. Having contact information for previous employers or references ready can speed up the process.

Professional certifications vary by role and region. Some positions prefer or require certifications such as CPR and First Aid, paraprofessional certificates, or state-specific teaching credentials. The requirements depend on what position you are pursuing.

Practical Takeaway: Gathering necessary documents in advance—such as proof of education, vaccination records, driver's license, and reference contact information—helps move your process along more quickly and demonstrates your readiness to potential employers.

Understanding Pay, Scheduling, and Work Arrangements

Before engaging with a staffing agency, it is helpful to understand how compensation works, how schedules are determined, and what your working relationship actually looks like. These details significantly impact your experience.

Pay rates for staffing positions typically fall below what permanently hired employees earn for equivalent work. This is standard in the staffing industry. According to the U.S. Bureau of Labor Statistics, substitute teachers earn an average of $155 to $200 per day depending on state and district, which translates to roughly $13 to $17 per hour based on a typical 7-hour school day. Instructional aides paid through staffing agencies typically earn between $14 and $19 per hour. These rates vary significantly by geographic region—urban areas and high cost-of-living regions generally pay more.

Payment structures differ from direct school employment. When working through a staffing agency, the agency is technically your employer and handles your paycheck. The school pays the agency, which deducts their fee (typically 20-35% of the hourly rate) and pays you the remainder. This arrangement means you may not receive benefits like health insurance, paid time off, or retirement contributions. Some staffing companies offer supplemental benefits, but these are not guaranteed and should be verified directly with the company.

Scheduling typically operates on a call-in basis for substitute and temporary positions. Schools contact the staffing agency when they need coverage, and the agency reaches out to available workers. You may have the option to accept or decline assignments. The downside is that work is not consistent—you cannot count on a set number of hours each week. Some weeks may bring many assignments, while others may bring few or none. This variability can make budgeting and planning difficult.

Longer-term assignments are sometimes available. Some schools need consistent coverage for specific positions over weeks or months. These assignments offer more predictability and steady income, though they still may not include employee benefits
