Your Free Guide to Finding Your UKG Username

Understanding UKG and Why You Might Need Your Username

UKG stands for Kronos, a company that provides workforce management software used by thousands of employers across the United States. Many businesses use UKG's systems to manage employee schedules, track time and attendance, process payroll, and handle other human resources functions. If you work for an organization that uses this platform, your employer likely assigned you a UKG username when you started your job or when the company switched to this system.

Your UKG username is a unique identifier that connects you to your employment records within your company's system. This username allows you to log into the UKG portal or mobile app to view information such as your work schedule, submitted time-off requests, pay stubs, and other employment-related documents. Some employees use their UKG account to swap shifts with coworkers, request time off, or view their hours worked.

Different organizations configure their UKG systems differently, which means your username format might look different than a coworker's username at another company. Some employers use employee ID numbers, while others use combinations of first and last names, email addresses, or custom formats created by their IT department.

If you've forgotten your UKG username or never received one when you started working for your employer, you'll need to locate it or request a new one. Understanding what a UKG username is and how it functions in your company's system is the first step toward retrieving it.

Practical Takeaway: Your UKG username is your personal access key to your work-related information through your employer's system. Before you search for it, confirm that your employer actually uses UKG by checking any documentation you received when hired or by asking your HR department.

Checking Your Employer's Documentation and Onboarding Materials

The first place to look for your UKG username is in any paperwork or emails your employer sent you when you were hired or during your onboarding process. Many companies provide new employees with welcome packets, orientation materials, or IT setup instructions that include login credentials. These documents often arrive before your first day of work or during your first week on the job.

Review any emails from your HR department, your direct manager, or your company's IT support team. Employers frequently send login information in separate emails for security reasons—one email might contain your username, while another contains a temporary password. Check both your inbox and your spam or junk folders, as legitimate company emails sometimes get filtered incorrectly.

Look through any physical or digital folders you may have created when starting your job. This might include employee handbooks, IT policy documents, system access guides, or orientation checklists. Some employers include UKG login information in their employee handbook or on an internal website portal. If your company provided you with a welcome letter on your first day, check that as well.

Many organizations send out periodic reminders about system access or password resets. Search your email for messages containing words like "Kronos," "UKG," "time clock," "schedule," or "portal." These keywords often appear in emails that reference your login information.

If you receive regular pay stubs or benefits information electronically, look at the email headers and signatures. Sometimes companies include system access information or links to employee portals in the footer of these messages. Your company may also have an internal website or intranet where employees can find IT resources and login instructions.

Practical Takeaway: Start your search by reviewing emails from your first 30 days of employment and any printed materials you received during onboarding. Most employers send UKG credentials within the first week, so focus on that timeframe first.

Contacting Your HR Department and Manager

Your HR (Human Resources) department is the official source for employment records and system access issues. This is where you should turn when you cannot find your UKG username through other methods. HR staff have access to employee databases and can verify your identity and employment status before providing or resetting your login information.

When you contact HR, have your employee ID number ready if you have it. You may find this on your pay stub, your employee badge, or your personnel file. Providing this information helps HR staff locate your record quickly and confirm you are who you say you are. Be prepared to answer security questions that HR might use to verify your identity, such as your date of birth, your start date, or the department where you work.

You can reach your HR department through several methods. Check your company's employee handbook or internal website for HR contact information. This might be a phone number, an email address, or an online form. Some larger companies have HR service centers where you can submit requests. Smaller companies may have a single HR representative or administrator you can contact directly.

Your direct manager or supervisor is another good resource. Managers often know how their employees access scheduling and timekeeping systems and can direct you to the right department or provide general information about how your company's UKG system works. Your manager may also be able to confirm whether your account exists and whether there might be issues preventing you from logging in.

When reaching out, explain clearly that you need to locate or reset your UKG username. Be specific about what you're trying to do—whether you've forgotten your username, never received one, or cannot remember if you ever had login credentials. This helps HR staff understand the issue and respond with the right solution.

Practical Takeaway: Contact your HR department in writing (email) rather than only verbally, so you have a record of your request. Include your full name, employee ID, department, and the date you started employment.

Using Your Company's Employee Portal or Intranet

Many organizations maintain an internal employee portal or intranet—a private website only accessible to employees. These portals often serve as a central hub where employees can manage their work-related information, including access to UKG and other systems. If your company has an employee portal, it may provide a way to view or reset your UKG username.

To find your company's employee portal, check any emails or documents from HR that mention an intranet, employee portal, employee self-service portal, or ESS system. Search your company's main website for links labeled "Employees," "Employee Portal," "Login," or "My Account." Ask your manager or a coworker where they log in to view their schedule or time off requests.

Once you locate the portal, you will likely need to log in with a different set of credentials than your UKG username—possibly your employee ID number and a password, your email address, or a single sign-on system that connects multiple work applications. Some portals have a "Forgot Password" or "Forgot Username" option that can help you regain access if you don't remember these credentials either.

After logging into your employee portal, look for sections labeled "HR," "My Information," "Self-Service," "Time and Attendance," "Benefits," or "System Access." These sections often contain links to UKG or information about accessing other work systems. Some portals display your UKG username directly on your profile page or in a section about your system access.

If your portal has a help desk or IT support section, it may include instructions for logging into UKG, common usernames formats your company uses, or links to UKG's login page. Some portals even allow you to send messages directly to HR or IT support staff through the system, which creates a record of your communication.

Practical Takeaway: If your company maintains an employee portal, it is often the fastest way to retrieve your UKG username or request help accessing your account. Write down any username formats or help desk contact information you find there.

Contacting UKG Support and Understanding Limitations

UKG (Kronos) operates a customer support team, but this team primarily supports employers and IT administrators, not individual employees. However, understanding how UKG support works can help you navigate the system better and know what to expect when seeking help.

UKG's main support channels are designed for companies that pay for the UKG software, not for individual workers. If you contact UKG's general support line, they will likely direct you back to your employer's HR or IT department, since your employer is their customer. UKG support staff do not have the ability to look up individual employee credentials or make changes to employee accounts—only your employer's administrators can do that.

However, UKG does maintain a login page
