Send a Fax From Your Computer Guide

Understanding Fax Technology and Modern Computer Options

Faxing has existed since the 1840s, though the technology most people recognize today developed in the 1960s and became widespread in offices throughout the 1980s and 1990s. A fax machine works by converting images or documents into electronic signals that travel through telephone lines to another fax machine, which then converts those signals back into printed images. Today, sending a fax from your computer uses similar principles but eliminates the need for a physical fax machine.

Modern computer faxing works through several methods. Internet-based fax services store your documents digitally and transmit them through the internet rather than traditional phone lines. Computer-to-phone fax software uses your computer's modem (if equipped) or internet connection to send documents to traditional fax machines. Hybrid services combine both approaches, allowing you to send and receive faxes across multiple platforms.

According to the U.S. Bureau of Labor Statistics, many organizations still use faxes for sending contracts, medical records, legal documents, and financial information. Despite the prevalence of email, approximately 17 billion faxes were sent in the United States in 2022. This continued use means understanding computer-based faxing remains practical for various professional and personal situations.

The shift toward digital faxing offers several practical advantages. You can send faxes without leaving your desk, maintain searchable digital records of what you've sent, and avoid purchasing fax machine hardware or maintaining dedicated phone lines. Different methods suit different needs depending on your volume of faxing, frequency of use, budget, and technical comfort level.

Practical Takeaway: Assess your faxing needs before choosing a method. Do you send faxes occasionally or regularly? Do you need to receive faxes as well? Does your recipient use a traditional fax machine or can they accept digital documents? Your answers will guide which approach works best for your situation.

Using Online Fax Services for Computer Sending

Online fax services represent the most popular approach for sending faxes from computers today. These services operate through web-based platforms where you upload your document, enter the recipient's fax number, and submit. The service converts your document into fax format and transmits it through their infrastructure to the recipient's fax machine or service. Popular services include FaxZero, eFax, Fax.plus, and HelloFax, though many options exist at various price points.

Free or low-cost online services typically allow you to send a limited number of faxes monthly at no charge. FaxZero, for example, permits users to send up to three faxes daily to U.S. and Canadian numbers for free, with a small fee for international faxing. Paid services usually cost between $5 and $30 monthly depending on your usage needs and features included. These services store your faxes securely and allow you to maintain a history of sent documents.

The process for using an online fax service follows consistent steps. First, create an account on the service's website with your email address. Second, select or prepare your document—most services accept PDF files, Word documents, images, and scanned files. Third, enter the recipient's fax number in the proper format (typically +1 area code number or 1-area code-number for U.S. recipients). Fourth, add a cover sheet if desired, review your submission, and send. Most services deliver faxes within minutes, and you receive confirmation once the transmission succeeds.

Online fax services offer particular value for occasional users or those without dedicated fax infrastructure. You need only an internet connection and an email address to begin. No software downloads or technical configuration is required. The services handle all the technical work of converting your document and routing it to the correct destination. Storage of sent faxes means you maintain records without requiring a separate filing system.

Practical Takeaway: Start with a free service tier if you send only occasional faxes. Online services require no equipment or technical setup—just upload your file and enter a fax number. Read each service's terms carefully regarding document storage duration, number of free faxes allowed, and whether international faxing is available.

Using Your Computer's Built-In Fax Capabilities

Both Windows and Mac computers include faxing capabilities within their operating systems, though the process differs between platforms. These built-in options work with a computer modem—though modern computers increasingly lack traditional modems—or through fax services integrated with your system. Understanding what your computer offers can save money if you regularly send faxes.

Windows computers with modems can use the Windows Fax and Scan application, included in Windows 10 and 11. This application allows you to scan documents using an attached scanner and send them as faxes through your modem and phone line. To use this method, you need an active phone line connected to your computer's modem. The process involves opening the application, selecting "New Fax," entering the recipient's fax number, attaching your document, and sending. Windows stores a record of sent faxes within the application for future reference.

Mac computers do not include native faxing applications but can send faxes through their print dialog boxes if you configure fax-capable software. Some Mac users install third-party applications like FaxStf or eFax Messenger, which provide faxing capabilities similar to Windows. The Mac approach requires either a modem connection or integration with an online fax service.

The primary requirement for computer modem-based faxing—which neither method emphasizes adequately—is the actual modem hardware. Most laptops and desktop computers manufactured after 2015 do not include modems. External USB modems exist but range from $30 to $100 and require driver software. Additionally, you need an active phone line, which many modern homes no longer maintain. These practical limitations mean that while built-in faxing software exists, the hardware requirements often make online services more practical for current computer users.

If you own an all-in-one printer with scanning capabilities, some printer software includes faxing features through your internet connection. Check your printer's manual or manufacturer website to determine if this option is available. This approach combines physical document handling with digital transmission.

Practical Takeaway: Check whether your computer actually has a modem before assuming you can use built-in faxing software. For most modern computers lacking hardware modems, online fax services offer a more practical alternative than pursuing modem-based faxing, which requires additional hardware purchases and phone line maintenance.

Choosing and Preparing Documents for Faxing

Document preparation affects whether your fax transmits successfully and whether the recipient can read it clearly. Faxes convert documents into black-and-white images during transmission, which means preparation differs slightly from sending documents via email. Understanding file formats, resolution, and content optimization helps ensure your faxes arrive readable and professional.

Most faxing services accept PDF files as the preferred format. PDFs preserve document formatting across different devices and operating systems, ensuring the recipient sees your document exactly as you formatted it. Microsoft Word documents (.docx) and images (.jpg, .png) also work with most services. If you have a physical document, scan it before faxing. When scanning, use at least 200 dots per inch (DPI) resolution to maintain readability after fax transmission converts the image. Higher resolution (300 DPI) ensures better quality but creates larger file sizes.

Font selection impacts readability on faxes. Use standard fonts like Times New Roman, Arial, or Courier New at 10-point size or larger. Decorative or script fonts may become difficult to read after fax transmission, particularly for recipients with older fax machines. Stick to black text on white backgrounds. Colored text, images, or backgrounds may not transmit clearly and waste transmission time.

Document length affects transmission speed and reliability. Most fax services handle documents up to 50 pages without issue, though some limit single faxes to 30 pages. If you're sending a lengthy document, consider splitting it into multiple faxes to reduce transmission time and increase reliability. Ensure all text stays within standard margins (typically one inch) to prevent edge content from being cut off or lost during transmission.

Before sending any fax, proofread the content for accuracy and verify the recipient's fax number. Faxes sent to incorrect numbers cannot be recalled or retrieved. Double-check numbers by reading them carefully and comparing them against any written confirmation you received. For important
