Recover Your Excel File Previous Versions Guide

Understanding Excel File Version History Features

Microsoft Excel includes built-in version history features that track changes to your spreadsheets over time. When you save a file multiple times, Excel can store previous versions, allowing you to view or restore earlier iterations of your work. This feature works differently depending on whether you're using Excel on your desktop computer, on the web, or through Microsoft 365 cloud storage services.

The version history system in Excel operates automatically when certain conditions are met. If your file is stored on OneDrive, SharePoint, or other cloud-based storage services connected to Microsoft 365, version history activates by default. Desktop versions of Excel that save to local folders may have limited version recovery options. Understanding where your file is stored is the first step toward recovering previous versions, as storage location determines which recovery methods are available to you.

Excel's version history typically preserves versions for up to 93 days, though this timeframe can vary based on your storage service settings. Each saved version includes a timestamp showing when the file was last modified. The system stores multiple snapshots of your file, not just the most recent save. This means you can potentially recover work from weeks or months earlier, depending on how frequently the file was saved and modified.

Different situations call for different recovery approaches. You might need to recover a version because you accidentally deleted important data, made unwanted changes that were saved over, or want to compare different versions of the same file. Some users need to recover files after software crashes, while others simply want to review how a spreadsheet changed over time. Each scenario may require a different recovery method.

Practical Takeaway: Before attempting recovery, identify where your Excel file is stored. Check if the file location is OneDrive, SharePoint, a local hard drive, or another storage service. This determines which recovery methods will work for your situation.

Recovering Previous Versions from OneDrive or SharePoint

When your Excel file is stored on OneDrive or SharePoint, Microsoft 365 automatically maintains version history. These cloud-based services create a new version each time the file is saved. To view and restore previous versions from OneDrive or SharePoint, you'll work through the version history menu within those platforms rather than through Excel itself.

To access version history on OneDrive through a web browser, first navigate to your OneDrive account and locate the Excel file you need to recover. Right-click on the file name to open a context menu with various options. Select "Version history" from this menu. A panel will appear showing a list of previously saved versions of that file. Each version entry displays the date and time it was created, along with the name of the person who made the change if the file is shared among multiple users. You can scroll through this list to find the version you want to restore.

In SharePoint, the process is similar but accessed through your SharePoint site. Navigate to the document library containing your Excel file. Click on the file name to select it, then look for a menu icon (usually three dots) that opens additional options. Select "Version history" to see the list of saved versions. SharePoint often displays more detailed information about each version, including who made changes and what modifications occurred.

Once you've identified the version you want to recover, you have two options: restore it completely or view it without making changes. To restore a previous version, click on that version entry and select "Restore." This action replaces your current version with the selected previous version. The current version becomes a new version entry in the history, so you won't lose your recent work—it will remain accessible in the version history list. To view a version without restoring it, select "Open" to view the file in read-only mode. This lets you confirm it contains the data you're looking for before deciding to restore it.

Practical Takeaway: When using OneDrive or SharePoint, always view a previous version before restoring it. This confirms the version contains the data you need and prevents accidental restoration of a wrong version.

Using AutoRecover and Temporary File Locations

Excel includes an AutoRecover feature that periodically saves your work automatically, separate from your manual saves. This feature can help you recover work if Excel closes unexpectedly due to a crash, power outage, or other interruption. AutoRecover does not replace your manual save function—it works alongside it to create backup copies of your file at intervals you can customize.

AutoRecover is enabled by default in Excel and typically saves your work every 10 minutes, though you can adjust this interval. The feature creates temporary files stored in a specific folder on your computer. These temporary files are hidden by default, which is why many users aren't aware they exist. If Excel shuts down unexpectedly, it will attempt to recover these temporary files when you reopen the program. Excel displays a recovery panel showing any unsaved or partially saved files from the interrupted session.

To adjust AutoRecover settings on Windows, open Excel and click "File" in the top menu. Select "Options" from the menu that appears. In the Options window, click "Save" from the left-side menu. Look for the AutoRecover section. You'll see a checkbox labeled "Save AutoRecover information every X minutes" along with a number field. You can increase or decrease the frequency by changing this number. More frequent saves provide better recovery potential but may slightly impact performance on older computers. For most users, the default 10-minute interval works well.

On Mac computers, open Excel and click "Excel" in the top menu bar. Select "Preferences" and then find "Save" in the list. The AutoRecover options appear in this section. The process is similar to Windows, allowing you to customize the save interval.

If you need to find recovered files manually, they're typically stored in temporary folders. On Windows, AutoRecover files are usually located in a folder path like: C:\Users\[YourUsername]\AppData\Local\Microsoft\Office\UnsavedFiles. This folder is hidden by default, so you'll need to enable viewing hidden files and folders in your file explorer settings. On Mac, recovered files are generally found in: ~/Library/Containers/com.microsoft.Excel/Data/Library/Autosave Information.

Practical Takeaway: Check AutoRecover settings on your computer and confirm the save interval works for your needs. More frequent AutoRecover saves provide better protection against data loss from unexpected shutdowns.

Recovering Files from Local Storage and Backup Systems

If your Excel file is stored on your computer's local hard drive rather than cloud storage, your recovery options are more limited but still possible. Local files don't have automatic version history like cloud-based files do, unless you're using a backup system. However, several methods can help you recover or restore previous versions of locally stored Excel files.

Windows includes a File History feature that can help recover previous versions of files stored on your computer. This feature must be turned on in your system settings to create backups. To check if File History is enabled, open your Control Panel and search for "File History." If it's active, you'll see a list of available backup dates. You can browse through previous backups and restore files to an earlier state. Right-click on your Excel file in File Explorer, select "Restore previous versions," and choose the version you want from the list provided. This method works only if File History was already enabled on your system before you needed the recovery.

Mac computers have a similar feature called Time Machine that creates regular backups of your computer. If Time Machine is enabled, you can recover previous versions of Excel files. Click the Time Machine icon in your menu bar (usually in the top-right corner) and select "Enter Time Machine." Navigate backward through time to find the version of your file you need. Select the version and click "Restore" to recover it.

Third-party backup software like Backblaze, Carbonite, or Acronis also maintains version histories of your files. If you have one of these services installed, you can usually right-click on a file and select an option to view or restore previous versions. The specific steps vary by service, but most include a version history browser in their software.

For files that have been deleted entirely, recovery becomes more challenging. Data recovery software can sometimes retrieve deleted files from your hard drive, especially if the files were recently deleted and the space hasn't been overwritten. Programs like EaseUS Data Recovery Wizard or Recuva scan your hard drive for deleted files. However, this method works best when attempted soon after deletion, as more recent deletions are easier to recover than older ones.
