Learn How to Set Up Grammarly in Microsoft Word

Understanding Grammarly and Microsoft Word Integration

Grammarly is a writing tool that checks your work for grammar, spelling, punctuation, and style issues as you type. When you set it up in Microsoft Word, the tool works alongside Word's built-in spelling and grammar features to provide additional feedback on your writing. This guide explains how to connect Grammarly to Microsoft Word so you can see suggestions while composing documents.

Microsoft Word already includes basic grammar checking, but many people add Grammarly because it offers different types of feedback. For example, Grammarly can flag wordiness, suggest clearer phrasing, and point out tone issues that Word might miss. The tool shows suggestions in a sidebar or as underlines in your document, depending on your settings.

Grammarly operates through a browser extension or a dedicated add-in, depending on which version of Word you use. If you use Word online through a web browser, you will install a browser extension. If you use Microsoft Word as a desktop application, you will install a Word add-in. Understanding which version you have will help you know which installation method to follow.

The tool works by analyzing your text and comparing it against grammar rules, writing conventions, and a large database of correct writing examples. It does not send your personal information to Grammarly's servers unless you sign up for an account that syncs your work across devices. You can use Grammarly without an account, though some features require one.

Practical Takeaway: Before setting up Grammarly, check whether you use Word online (accessed through a web browser) or the desktop version installed on your computer, as this determines which installation method you will use.

Setting Up Grammarly for Microsoft Word Online

If you access Microsoft Word through your web browser (word.office.com), you need to install a browser extension. This process works the same way whether you use Chrome, Firefox, Edge, or Safari. Start by visiting the Grammarly website and navigating to the section for browser extensions. Look for the option to install the extension for your specific browser.

Click the install button, which will redirect you to your browser's extension store. For Chrome, this is the Chrome Web Store. For Firefox, it is the Firefox Add-ons store. For Edge, it is the Microsoft Edge Add-ons store. For Safari, the process is slightly different; you will need to download Grammarly from the App Store. Each store will ask you to confirm that you want to add the extension to your browser before proceeding.

After installation completes, you should see a Grammarly icon appear in your browser's toolbar. This icon indicates that the extension is active. Now open a Word document in your web browser. You may see a notification asking whether you want to enable Grammarly for that website. Click "Enable" or "Allow" to permit Grammarly to work with Word online.

Once enabled, Grammarly will begin checking your writing as you type in Word. You will see a small indicator showing how many issues Grammarly has found. Click on this indicator to open the Grammarly sidebar, which displays all suggestions. Each suggestion includes an explanation of the issue and an option to accept or reject the change.

Some people prefer to keep the Grammarly sidebar visible at all times, while others check it occasionally. You can customize these settings by clicking the Grammarly icon and selecting preferences. Common settings include whether to show issues inline (with underlines in the document) or only in the sidebar, and which types of issues you want Grammarly to flag.

Practical Takeaway: After installing the browser extension, open Word online and enable Grammarly for that website by clicking the permission prompt. This one-time step allows Grammarly to work with all your Word online documents going forward.

Installing Grammarly on Microsoft Word Desktop Application

The desktop version of Microsoft Word, installed directly on your computer, uses a different type of add-in rather than a browser extension. To install Grammarly on desktop Word, first open Word on your computer. Then click on the "Insert" tab in the ribbon menu at the top of the window. On the right side of the Insert ribbon, you should see a "Get Add-ins" option or an icon that looks like a store window.

Clicking "Get Add-ins" opens the Office Add-ins store within Word. This is where you can search for and install additional tools. In the search box, type "Grammarly" and press Enter. The official Grammarly add-in should appear as one of the top results. Make sure you are installing the official Grammarly add-in, not a third-party version, by checking that it says "Grammarly, Inc." as the developer.

Click the "Add" or "Install" button next to the Grammarly add-in. Word will ask you to confirm that you want to add this tool to your application. After you confirm, Word will download and install the add-in. This process typically takes less than a minute. Once installation is complete, you may see a message saying the add-in is ready to use, or Word may automatically reload.

After installation, you should see a Grammarly button or panel appear in your Word interface. For newer versions of Word, you might see a Grammarly option in the Review tab of the ribbon. For older versions, there may be a Grammarly icon in the toolbar. Click this button or icon to open Grammarly's interface within Word.

The first time you open Grammarly within Word, you may be asked to sign in or create an account. While you can use some Grammarly features without an account, creating one allows you to use more advanced features and sync your preferences across devices. If you prefer not to create an account, you can usually skip this step, though you will have limited functionality.

Practical Takeaway: Use the "Get Add-ins" option in Word's Insert tab to search for and install the official Grammarly add-in. After installation, look for the Grammarly button in your Word interface and click it to begin using the tool.

Configuring Your Grammarly Settings

After Grammarly is installed and running in Microsoft Word, you can customize its settings to match your writing needs. Different types of writing may require different levels of feedback. For example, if you are writing a formal business email, you might want Grammarly to flag tone issues and suggest more professional language. If you are drafting casual notes, you might prefer fewer suggestions.

To access Grammarly settings, look for a settings icon or menu option within the Grammarly panel or sidebar. This is usually represented by a gear icon or a three-line menu button. Clicking it opens the settings menu where you can adjust various options. One common setting is "Goals," which lets you specify the context of your writing, such as formal, semi-formal, or informal.

Another important setting is which types of issues you want Grammarly to flag. Common categories include grammar, spelling, punctuation, style, and tone. You can typically toggle each category on or off based on your preferences. For instance, if Word already catches most spelling errors, you might turn off Grammarly's spelling checker to reduce the number of notifications you receive.

You can also set your audience and formality level. "Audience" refers to who you are writing for—for example, general readers, experts, or colleagues. "Formality" ranges from very casual to very formal. Based on these settings, Grammarly adjusts which suggestions it shows. A word that is perfectly fine for casual writing might be flagged as too informal for a professional document.

Some versions of Grammarly include an "Advanced" settings section with options like clarity and engagement checks. Clarity checks flag sentences that are hard to understand. Engagement checks suggest ways to make your writing more interesting. You can enable or disable these based on your needs and preferences.

If you find that Grammarly is making too many suggestions or not enough, adjusting these settings can help. You might also want to adjust the sensitivity level if that option is available. A higher sensitivity level means Grammarly flags more potential issues, while a lower level shows only the most important problems.

Practical Takeaway: Visit Grammarly's settings to specify your writing context (formal vs. casual), choose which issue types to monitor, and set your audience
