Learn How to Send a Fax Using Email

Understanding Email-to-Fax Technology

Email-to-fax technology allows you to send documents through your email account to a fax machine or service without using a traditional fax machine. This method works by converting your email message and attachments into a format that fax machines can receive. The technology has been around since the 1990s and continues to be widely used in businesses, medical offices, legal firms, and government agencies.

When you send a fax through email, your message travels through the internet to a fax service provider's server. That server then converts your digital file into fax signals and transmits them to the recipient's fax machine or fax service. The entire process typically takes just a few minutes, depending on file size and internet connection speed. This method is significantly faster than printing a document, walking it to a fax machine, and waiting for transmission confirmation.

The technology works with most common document formats, including PDF, Word documents, images, and spreadsheets. Different fax services support different file types and sizes, so it's worth checking the specifications of your chosen service. Some services limit file sizes to 10 megabytes, while others allow larger documents.

Email-to-fax differs from traditional faxing in several important ways. Traditional faxing requires a fax machine, dedicated phone line, and physical paper. Email-to-fax requires only an internet connection and email account. You can send faxes from your computer, tablet, or smartphone at any time, from anywhere with internet access. Many people find this method more convenient than maintaining expensive fax equipment.

Practical Takeaway: Email-to-fax uses internet technology to send documents to fax machines or services. Understanding how this process works helps you choose the right method for your needs and understand what to expect regarding timing and file compatibility.

Setting Up Your Email-to-Fax Service

Before you can send faxes through email, you need to set up a fax service. You have several options, ranging from paid subscription services to free limited services. Many services offer different pricing tiers based on how many faxes you need to send per month.

Popular email-to-fax services include eFax, MyFax, Fax.plus, and Google Voice. Each service has different features and pricing structures. eFax charges approximately $10-15 per month for basic plans with 150 outgoing faxes included. MyFax offers similar pricing with unlimited receiving. Some services offer pay-per-fax options where you pay only for faxes you actually send, typically 25 cents to $1 per fax.

To set up a service, you typically need to:

• Visit the service provider's website
• Create an account with your email address
• Choose a pricing plan that matches your needs
• Provide payment information (for paid services)
• Verify your email address
• Set up your fax number or choose one from available options

Some services automatically assign you a fax number, while others let you choose a number from a specific area code. Your assigned fax number becomes the sender ID when you transmit faxes. After setup, you'll receive instructions on how to format your email address to include fax numbers. Most services use a format like "1234567890@efax.com" or similar variations.

Before committing to a paid service, many providers offer trial periods ranging from 7 to 30 days. This allows you to test the service and understand the user interface without financial commitment. During the trial, you can send test faxes to verify that the service meets your needs.

Practical Takeaway: Creating an email-to-fax account involves selecting a provider, setting up an account, and choosing a plan. Most services can be activated within minutes, and trial periods let you test the service before paying.

Preparing Your Documents for Fax Transmission

Document preparation is crucial for successful fax transmission. Unlike printing a physical document, digital faxing requires that your files meet certain technical specifications. Proper preparation ensures that your documents arrive clearly on the receiving end and that the transmission succeeds without errors.

File format matters significantly. PDF files are the most reliable format for faxing because they maintain consistent formatting across different computers and systems. Microsoft Word documents (.docx) and images (.jpg, .png) also work well, though Word documents sometimes experience formatting changes. Excel spreadsheets can be faxed, but they may print across multiple pages if they contain wide columns or large data sets.

File size is another important consideration. Most email-to-fax services limit individual files to 10-25 megabytes. A typical 10-page document is usually 1-3 megabytes, so size rarely becomes an issue for standard documents. However, if you're sending high-resolution photos or scanned documents, you may need to compress files or split them into multiple transmissions. Many computers have built-in file compression tools, and numerous online compression services are available.

Before sending, review your document for these issues:

• Check that all text is clearly readable and not too small (minimum 10-point font recommended)
• Verify that images are dark enough to transmit clearly
• Confirm that all pages are included and in the correct order
• Remove unnecessary blank pages to reduce transmission time
• Ensure that colored text converts clearly in black and white (fax machines receive in black and white)
• Test scanned documents by viewing them on your computer first

Scanning documents correctly significantly affects fax quality. Use a scanner setting of at least 200 DPI (dots per inch) for text documents. Higher resolution (300 DPI) is better for documents with small print or signatures. Ensure the scanner is clean and that documents are placed straight on the scanner bed. Skewed or tilted scans may not transmit properly.

Practical Takeaway: Proper document preparation involves using compatible file formats, checking file sizes, ensuring readability, and scanning at appropriate resolutions. Taking time to prepare documents correctly reduces transmission problems and ensures recipients can read what you send.

Composing and Sending Your Fax via Email

The actual process of sending a fax through email is straightforward and similar to sending a regular email message. Understanding the specific format requirements of your chosen service ensures your fax reaches its destination correctly.

The basic process involves opening your regular email account and creating a new message. In the "To" field, you enter the recipient's fax number formatted according to your service provider's specifications. Most services require the fax number in one of these formats: "1-234-567-8900@efax.com," "2345678900@fax.plus," or similar variations. Always verify your service provider's format before sending to avoid failed transmissions.

In the subject line, include relevant information about your fax. Many fax services use the subject line as a cover sheet identifier, so including details like "Invoice #12345" or "Tax Forms for John Smith" helps the recipient understand the fax's purpose. Some services automatically generate cover sheets with your information, while others require you to format one manually.

The message body serves as your cover letter. Keep this brief and professional. For example: "Please find the attached contract for your review. Please sign and return within 5 business days." Your fax service will transmit this text as the first page of your fax transmission. If you don't want a cover letter, simply leave the message body empty or type "See attached."

Attach your document or documents to the email as you normally would. Most services allow multiple attachments in a single fax transmission, combining them into one fax. Here's what to remember when attaching files:

• Attach only files the service supports (check provider documentation)
• Keep total file size within service limits (usually 10-25 MB)
• Send multiple faxes if you have several large documents instead of one huge file
• Verify attachments are included before sending
• Use descriptive file names so you remember what you sent
