Learn How to Schedule Telehealth Visits Online

Understanding What Telehealth Scheduling Actually Involves

Telehealth visits represent a shift in how people connect with healthcare providers. Instead of traveling to a physical office, you meet with a doctor, nurse, therapist, or other clinician through a video call, phone call, or messaging platform. The scheduling process for these visits differs from traditional in-person appointments because it involves extra steps related to technology setup and platform access.

According to data from the Centers for Medicare & Medicaid Services, telehealth usage increased significantly over recent years, with millions of Americans now using video visits as part of their regular healthcare routine. However, the actual mechanics of booking these appointments can vary widely depending on which healthcare provider or insurance plan you use.

When you schedule a telehealth visit, you're essentially reserving a time slot to connect through a specific digital platform. That platform might be your doctor's office's own app, a third-party video service, a patient portal connected to your healthcare system, or even a phone line. Each option requires different preparation steps before you can complete your scheduling.

The key difference from scheduling an office visit is that telehealth scheduling typically includes confirming your technology setup in advance. You'll need to verify that you have reliable internet, a compatible device (computer, tablet, or smartphone), and the correct app or browser access. Some scheduling systems ask you to test your camera and microphone before confirming your appointment time.

Practical takeaway: Before you attempt to schedule any telehealth appointment, identify which platform your provider uses. This information usually appears on your provider's website, in your insurance company's provider directory, or in a welcome email from your healthcare organization. Knowing the platform ahead of time prevents scheduling confusion later.

Finding Which Platforms Your Healthcare Providers Actually Use

Your healthcare provider likely uses one or more specific platforms for telehealth visits. The major options include Zoom for Healthcare, Teladoc, Amwell, MDLive, Doctor on Demand, and various electronic health record (EHR) systems like Epic or Cerner that have built-in video visit features. Your provider may also use regional or specialty-specific platforms depending on their focus area.

To find out which platform your provider uses, start with their official website. Most healthcare organizations maintain a "Telehealth" or "Video Visits" section that lists their platform name and provides links to download the app or access instructions. If you can't find this information online, calling your provider's scheduling department will give you a definitive answer. When you call, ask specifically: "Which platform do you use for video visits?" and "Do I need to create an account before scheduling, or does my provider set that up?"

Insurance companies also play a role in platform availability. Some insurance plans partner with specific telehealth platforms, which may mean your in-network providers use those systems. Check your insurance card or member portal for information about telehealth services. Many insurers maintain lists of covered providers and the platforms they use, sometimes organized by specialty.

If you receive healthcare through a large health system (like a major hospital network or integrated healthcare organization), their patient portal often serves as the primary scheduling tool for telehealth visits. These portals typically consolidate all your appointments—both in-person and virtual—in one place. Examples include MyChart (used by many health systems), Athena, and others. You may have already set up a portal account for viewing lab results or communicating with providers; that same login often works for scheduling telehealth visits.

For employers offering telehealth benefits, your human resources department or benefits website will specify which platform to use. Some companies contract with specific vendors and provide employee access codes or links to use when scheduling.

Practical takeaway: Create a personal list noting which platform each of your healthcare providers uses. Include the website or app name, whether you already have an account, and any special login requirements. This reference list saves time when you need to schedule and prevents using the wrong platform.

Setting Up Your Technology and Account Access Before Scheduling

Before you can schedule a telehealth appointment, you need to ensure two things work: your technology and your account access. These steps happen separately but both must be complete before you reserve a time slot.

For technology, you'll need a device (computer, tablet, or smartphone) and reliable internet. Most providers specify minimum technical requirements on their telehealth information page. For example, they might note that you need internet speeds of at least 2.5 megabits per second (Mbps) for video calls. If you're unsure about your internet speed, websites like speedtest.net provide free speed checks. If your internet is unreliable, you can often schedule phone-only visits instead, which don't require high-speed connectivity.

The device itself should have a camera and microphone. Laptops and tablets typically have built-in cameras, while older desktop computers may not. Smartphones have cameras as standard. The app or browser your provider uses must be compatible with your device's operating system. Most modern systems work on both Apple and Android devices, as well as Windows and Mac computers, but checking your provider's requirements prevents last-minute problems.

For account access, you'll likely need either an existing patient account with your provider's system or you'll create one during the scheduling process. If your provider uses their own app or patient portal, you may need to create a login and password before scheduling. Some healthcare systems send you an activation link via email that you'll click to set up your account. Others let you create an account directly through the app without waiting for an email.

If you're a new patient, the scheduling process might require you to complete a registration form with your insurance information, medical history, and contact details. This typically happens before you select your appointment time, not after. New patient registration can take 10-15 minutes, so plan accordingly.

Two-factor authentication has become common in healthcare apps. This means after you enter your password, you'll receive a code via text message or email that you must enter to log in. While this adds an extra step, it protects your private health information. Make sure you have access to the phone number or email address you'll use for this verification.

Practical takeaway: Test your technology at least 24 hours before your scheduled appointment. Open the app or website your provider uses, log in with your account, and check your camera and microphone functions. Most platforms have a test feature specifically for this. If something doesn't work, you'll have time to contact your provider's support line rather than discovering problems minutes before your visit.

Walking Through the Actual Scheduling Steps on Different Platform Types

The specific steps for scheduling vary depending on whether you use your provider's patient portal, a standalone telehealth app, or your insurance company's platform. Understanding the typical flow helps you navigate whichever system you encounter.

Scheduling through a provider's patient portal: Log in to your account, look for an "Appointments" or "Schedule a Visit" section, and select "Video Visit" or "Telehealth" as your visit type. The system will show available times with your selected provider. Slots usually appear several weeks in advance, though some providers release additional times closer to the current date. Select your preferred date and time, confirm any required information (insurance, reason for visit), and complete the scheduling. You'll receive a confirmation email with your appointment details, including a link to join the video visit at your scheduled time.

Scheduling through a standalone app: After logging in, find the "Book an Appointment" or "Schedule" button. You'll typically select your preferred provider or provider type (for example, "general medicine" or "therapy"), then choose from available times. Some apps ask you to specify your visit reason before showing available providers. Once you select a time, you'll review and confirm your details, then receive a confirmation with joining instructions.

Scheduling through your insurance platform: Your insurance company's member portal may have a telehealth section listing in-network providers and available times. Search by specialty or provider name, select a time slot, and complete any required health information. The system confirms your appointment and provides joining details.

Scheduling by phone: Some providers still accept telehealth scheduling through their scheduling department's phone line. Call the number on your insurance card or your provider's website, tell the scheduler you want to book a video visit, provide your availability, and they'll confirm a time. Ask them to email or mail you the joining instructions, including the platform link or phone number you'll use.
