Learn How to Remove Page Breaks in Word

Understanding Page Breaks in Microsoft Word Documents

Page breaks are formatting tools in Microsoft Word that force content to move to a new page. When you insert a page break, Word stops printing content on the current page and moves your cursor to the beginning of the next page. This feature is different from simply pressing Enter multiple times, which creates blank lines but doesn't create a true page break.

There are two main types of page breaks in Word: manual page breaks and automatic page breaks. Manual page breaks are ones you intentionally insert into your document. Automatic page breaks happen naturally when your text fills up a page and Word needs to move the remaining content to a new page. Automatic page breaks adjust themselves if you edit your document, add or remove text, or change your page formatting.

Many Word users don't realize they have page breaks in their documents. A page break might have been inserted by mistake, or perhaps the document was created by someone else who added them. Page breaks can cause problems when you're trying to reorganize your document or when they appear in unexpected places. For example, if a page break is inserted in the middle of a table or between related sections, it can make your document harder to read and unprofessional-looking.

Understanding where your page breaks are located is the first step toward removing them. Word provides several ways to see page breaks and remove them. Some page breaks are easy to spot because you can see where new pages start. Others are hidden and require you to turn on formatting marks to see them. Learning to identify and work with page breaks gives you better control over your document's appearance.

Practical Takeaway: Page breaks control where new pages begin in your document. Manual page breaks can be removed, but automatic ones adjust as your content changes. Knowing the difference helps you manage your document layout more effectively.

How to Display Formatting Marks and Find Page Breaks

Before you can remove page breaks, you need to see where they are in your document. Microsoft Word lets you view formatting marks, which show all the hidden characters and formatting in your document, including page breaks. Formatting marks appear as symbols and characters that don't print when you print your document—they're only visible on your screen.

To display formatting marks in Word, use the keyboard shortcut Ctrl+* (on a Windows computer) or Command+* (on a Mac). You can also access this feature through the Word menu. In most versions of Word, you'll find a button that looks like a paragraph symbol (¶) in the Home tab of the ribbon. Click this button to toggle formatting marks on and off.

When you turn on formatting marks, you'll see small symbols throughout your document. These symbols represent spaces, tabs, paragraph breaks, and page breaks. A page break appears as a line across the page with the words "Page Break" written in the middle. This visual indicator makes it obvious where manual page breaks have been inserted. Automatic page breaks don't show a visible symbol—instead, your content simply continues on the next page naturally.

Some users find formatting marks cluttered and distracting. If you don't want to see all formatting marks all the time, you can use the Find & Replace feature to search for page breaks specifically. Press Ctrl+H to open Find & Replace, then search for manual page breaks using the special code "^m" in the Find field. This method lets you locate page breaks without displaying all other formatting marks.

Another way to find page breaks is to scroll through your document and look for places where pages end unexpectedly. If content seems to jump to a new page too early, there's likely a manual page break causing it. This method is slower than using formatting marks, but it works for smaller documents or when you're generally familiar with where your content should be.

Practical Takeaway: Use Ctrl+* to show formatting marks and see page breaks visually. This is the fastest way to identify where manual page breaks are located in your document so you can decide which ones to remove.

Removing Page Breaks Using the Delete Key Method

The simplest way to remove a manual page break is to delete it directly. Once you can see your page breaks using formatting marks, removing them is straightforward. Position your cursor right before the page break symbol, then press the Delete key once. The page break will be removed, and the content from the next page will move up to fill the space on the current page.

Here's the step-by-step process: First, turn on formatting marks using Ctrl+*. Scroll through your document until you find a page break you want to remove. Click to position your cursor at the very beginning of the page break line (before the "Page Break" text). Make sure your cursor is on the same line as the page break symbol. Press the Delete key one time. The page break will disappear, and your content will reflow.

If pressing Delete once doesn't work, try pressing it again. Occasionally, there might be extra spaces or formatting before the page break that needs to be deleted first. Be careful not to press Delete multiple times if you're not sure what you're deleting, as this might remove content you want to keep.

If you want to remove a page break but you're having trouble positioning your cursor in exactly the right spot, try this alternative: click anywhere after the page break, then use the keyboard shortcut Ctrl+Backspace. This removes the page break and pulls the content up. The Backspace key deletes content to the left of your cursor, so Ctrl+Backspace is particularly useful when your cursor is at the beginning of the page that comes after the break.

Some page breaks are stubborn and won't delete with a simple keystroke. This sometimes happens when the page break is connected to paragraph formatting. If you encounter this situation, you can try selecting the entire page break paragraph and deleting it. Click at the beginning of the line with the page break, hold Shift, and click at the end of the line, then press Delete.

Practical Takeaway: Position your cursor before the page break, then press Delete to remove it. This direct method works for most manual page breaks and takes only a few seconds per page break.

Using Find and Replace to Remove Multiple Page Breaks

If your document contains many page breaks, removing them one at a time can be time-consuming. Word's Find and Replace feature lets you find and remove multiple page breaks at once. This method is particularly useful for large documents or when you're not sure exactly how many page breaks are in your document.

To use Find and Replace for page breaks, press Ctrl+H to open the Find and Replace dialog box. In the "Find what" field, type "^m" (without quotes). This is the special code that represents a manual page break in Word. Leave the "Replace with" field empty—this tells Word to replace the page breaks with nothing, effectively deleting them. Click "Replace All" to remove all manual page breaks from your document at once.

Before you click "Replace All," consider clicking "Find Next" first to see examples of what will be replaced. This step helps you verify that you're finding the right elements. After reviewing one or two examples, you can proceed with replacing all instances. Word will show you how many replacements it made, giving you a count of how many page breaks were in your document.

If you only want to remove page breaks from a specific section of your document, you can select that section first. Highlight the text or pages where you want to remove breaks, then open Find and Replace. When you have a section selected, the replacement will only happen within that selected area.

One important consideration: the Find and Replace method removes only manual page breaks, not automatic page breaks. Automatic page breaks will remain because they're not actual characters in your document—they're just Word's way of showing where content naturally breaks across pages. If your document is still breaking across pages in ways you don't want after removing manual breaks, you may need to adjust your margins, font size, or spacing instead.

After using Find and Replace to remove page breaks, scroll through your document to see how it now looks. Sometimes removing page breaks causes content to reflow in unexpected ways. You might notice that sections you wanted on separate pages are now combined, or that images and text arrangement has changed. This is normal and gives you an opportunity to make adjustments to your layout as needed.

Practical Takeaway: Use Find and Replace (Ctrl+H) with "^m" to quickly remove all manual page breaks from your document. This bulk method is much faster than deleting breaks individually when you have a longer document.
