Learn How to Read Your Pay Stub

Understanding the Basics of Your Pay Stub

A pay stub is a document you receive from your employer that shows how much money you earned during a specific pay period and how much was taken out for taxes and other deductions. Think of it as a detailed receipt for your paycheck. Every employee should receive a pay stub either in paper form or electronically, depending on what your employer offers. This document is one of the most important financial records you'll have, yet many people never look at it carefully.

Your pay stub typically appears on a piece of paper or in a PDF file, and it covers one pay period—which might be one week, two weeks, or one month, depending on your employer's schedule. Some employers use biweekly pay periods (every two weeks), while others use weekly or monthly schedules. The pay stub shows your gross pay, which is the total amount you earned before anything is taken out, and your net pay, which is what actually goes into your bank account after deductions.

Pay stubs serve several important purposes. They document what you earned, which is useful when applying for loans, renting an apartment, or proving your income for other reasons. They also help you verify that you were paid correctly and that the right amounts were taken out for taxes. Additionally, pay stubs create a record of your employment history and earnings over time.

Different employers may format their pay stubs differently, but they all include the same basic information. Some companies use colorful designs with multiple sections, while others keep things simple and straightforward. Regardless of the format, the information will follow a similar structure that makes sense once you understand what each section means.

Practical Takeaway: Save all your pay stubs in one place—either a folder on your computer or a physical file. These documents will become valuable references when you need to prove your income or review your earnings history.

Decoding Gross Pay and Net Pay

Gross pay is the total amount of money you earned during the pay period before any deductions. If you make $20 per hour and worked 40 hours during the week, your gross pay would be $800. This number represents what your employer owes you for your work. For salaried employees, gross pay is simply your annual salary divided by the number of pay periods in a year. If you earn $52,000 per year and get paid biweekly, your gross pay would be about $2,000 per pay period.

Net pay, sometimes called "take-home pay," is the amount of money that actually goes into your bank account. This is your gross pay minus all deductions. In the example above, if your gross pay was $800 but $150 was taken out for taxes and other deductions, your net pay would be $650. The difference between gross and net pay can be shocking the first time you see it, but understanding where that money goes is important.

Several things affect the difference between gross and net pay. Federal income tax withholding is usually the biggest deduction. The amount withheld depends on information you provided to your employer on a form called the W-4, which includes your filing status and number of dependents. Social Security tax and Medicare tax are also withheld from every paycheck. Social Security tax is 6.2% of your gross pay (up to a maximum), and Medicare tax is 1.45% of your gross pay with no maximum limit.

Some employees also have state income tax withheld, depending on which state they work in. A few states have no income tax, while others take significant amounts. Additionally, if you live in a city that has local income tax, that amount may appear on your pay stub as well. Health insurance premiums, retirement plan contributions, and other benefits also reduce your net pay. Some of these are taken out before taxes (called pre-tax deductions), while others are taken out after taxes (called post-tax deductions).

Practical Takeaway: Add up all your deductions and compare them to your gross pay to understand exactly what percentage of your earnings you're taking home. This helps you budget more accurately and understand your true take-home income.

Breaking Down Tax Withholdings and Deductions

Tax withholdings are the amounts your employer takes from your paycheck to send to the government for federal, state, and local taxes. These withholdings are based on estimates—your employer is essentially making an educated guess about how much tax you'll owe at the end of the year. The goal is to withhold approximately the right amount so that when you file your tax return, you either owe very little or receive a refund.

Federal income tax withholding is calculated using the W-4 form you complete when you start a job. The W-4 asks for your filing status (single, married, head of household, etc.) and the number of dependents you claim. If you claim zero dependents, more tax will be withheld from each paycheck. If you claim more dependents, less will be withheld. The IRS provides a withholding calculator on its website to help you figure out the right number to claim. Many people choose to have extra money withheld if they know they'll owe taxes, such as from side income or investments.

Social Security and Medicare taxes are mandatory and automatic—your employer must withhold these amounts. These are sometimes called FICA taxes (Federal Insurance Contributions Act). In 2024, Social Security tax is 6.2% of your gross pay, but only on earnings up to $168,600. Once you reach that limit for the year, no more Social Security tax is withheld. Medicare tax is 1.45% of all your earnings with no limit. If you earn more than $200,000 as a single filer (or $250,000 if married filing jointly), an additional 0.9% Medicare tax is withheld.

Beyond taxes, your pay stub will show other deductions related to benefits and retirement savings. Pre-tax deductions include health insurance premiums, dental insurance, vision insurance, and contributions to a 401(k) retirement plan. These deductions reduce your taxable income, which means you pay less in federal income tax. Post-tax deductions include life insurance premiums, contributions to a Roth IRA (if offered through your employer), and garnishments. Garnishments occur when a court orders your employer to withhold money from your paycheck, such as for child support or a wage garnishment from a lawsuit.

Practical Takeaway: Review your W-4 form annually, especially if your life circumstances change. Getting married, having children, or taking on a second job are all reasons to adjust your withholding to avoid owing a large amount at tax time.

Tracking Year-to-Date Totals and Cumulative Information

Most pay stubs include a "year-to-date" (YTD) section that shows your cumulative earnings, taxes, and deductions from January 1 through the current pay period. This running total is incredibly useful for tracking your progress toward annual goals and for catching errors. For example, if you're trying to reach a certain income level for the year, checking your YTD gross pay tells you exactly where you stand.

The YTD gross pay is particularly important as you approach the end of the year. By December, your YTD gross pay should match the amount on your W-2 form that you'll receive in January for tax filing purposes. If there's a significant discrepancy, it might indicate a data entry error or a missing paycheck. The YTD federal tax withholding shown on your pay stub should roughly match the federal income tax shown on your tax return. If you're withholding much more or much less than your expected tax bill, it's a sign you should adjust your W-4.

Year-to-date Social Security and Medicare taxes are also important to monitor. As mentioned earlier, Social Security tax has a wage base limit—once you've earned enough in a year, no more Social Security tax is withheld from your remaining paychecks. If you work multiple jobs or change jobs during the year, you could end up paying more Social Security tax than necessary if your combined earnings exceed the limit. In that case, you can claim an additional tax credit when you file your tax return, but it's helpful to notice this on your pay stub throughout the year.

YTD information for benefits is also valuable. If you have health insurance through your employer, your YTD deduction shows how much you've paid toward your premium so far. This helps you understand the true cost of your insurance. For retirement savings, your YTD
