Learn How To Move Email From Junk Folder

Understanding Email Junk Folders and Why Messages End Up There

Email junk folders exist as a safety feature to protect your inbox from unwanted messages. Email providers like Gmail, Outlook, Yahoo Mail, and others use filtering systems to automatically sort incoming messages. These systems examine thousands of signals within each email—including the sender's reputation, the content of the message, links included, and attachment types—to determine whether an email should go to your main inbox or to the junk folder.

According to Statista, approximately 45% of all email traffic is spam as of 2023. This massive volume of unwanted messages is why email providers maintain junk filters. Without these filters, users would be overwhelmed by promotional offers, phishing attempts, and malicious content. The filters are designed to err on the side of caution, which sometimes means legitimate emails get caught by mistake.

Common reasons why emails end up in junk folders include:

• The sender's domain or IP address has a poor reputation due to past spam complaints
• The email contains certain keywords commonly associated with spam or scams
• The email includes multiple links or attachments that trigger security alerts
• The sender's email authentication (SPF, DKIM, or DMARC records) is not properly configured
• The email comes from a newly created sender address with no sending history
• Recipients have previously marked emails from this sender as spam

Practical takeaway: Recognizing why legitimate emails get filtered helps you understand that retrieving them is usually straightforward. The junk folder is not permanent—you can review messages there and move them back to your inbox whenever you notice them.

How to Find and Review Emails in Your Junk Folder

The first step in moving emails from your junk folder is locating them. Most email services make junk folders easy to access, though the exact location varies by provider. In Gmail, the junk folder is called "Spam" and appears in the left sidebar below your main inbox folders. In Outlook and Hotmail, it's labeled "Junk Email" and is also prominently displayed in the folder list. Yahoo Mail users can find their junk folder by clicking on the folder list and selecting "Spam."

When you open your junk folder, you'll see a list of messages that the system flagged as potential spam. Most email providers display the sender's name or email address, the subject line, and the date the email was received. Take time to review these messages carefully. Look for emails you were expecting to receive, such as order confirmations, password reset links, or messages from colleagues and friends.

To search for a specific email within your junk folder, use your email provider's search function. In Gmail, click on the search bar at the top of the page and type the sender's name, subject line, or keywords related to the message. You can also narrow your search by clicking on the search options and selecting "Search in: Spam." This approach is useful when you know you're looking for a particular message but aren't sure exactly when it arrived.

Important consideration: Email providers typically keep junk messages for 30 days before permanently deleting them. This means you have a limited window to recover important emails. Some providers like Gmail may keep spam longer, but it's still good practice to check your junk folder regularly—at least once a week—to ensure you're not missing messages you need.

Practical takeaway: Set a calendar reminder to check your junk folder weekly. This habit prevents important messages from being permanently deleted and helps you identify patterns in what gets filtered.

Moving Emails from Junk to Your Inbox in Gmail

Gmail's process for moving emails from spam to your inbox is straightforward. Open your Gmail account and navigate to the Spam folder by clicking on "Spam" in the left sidebar. You'll see a list of all messages flagged as spam. To move a single email, click on the checkbox next to the message to select it. Once selected, look at the toolbar that appears above your email list. Click on the "Move to" button (it looks like a folder with an arrow) and select "Inbox" from the dropdown menu.

If you want to move multiple emails at once, you can select several messages by clicking multiple checkboxes. Gmail also offers the option to select all messages in your spam folder at once. Look for the checkbox at the very top of your message list—clicking this selects every email currently visible. Once you've selected the messages you want, use the "Move to" button to send them to your inbox.

Another effective method is to open an individual email in your spam folder and look for the "Report not spam" button. In Gmail, this button typically appears near the top of the email message. Clicking "Report not spam" does two things: it moves the email to your inbox and tells Gmail's system that this particular message should not have been filtered. Over time, as you report messages from a sender as "not spam," Gmail learns to recognize that sender's emails as legitimate.

For ongoing emails from the same sender, consider adding that person's email address to your contacts. Gmail prioritizes emails from people in your contacts list, making it less likely future messages will be filtered. You can also create filters to automatically sort emails from specific senders into designated folders or to bypass the spam filter entirely. To set up a filter, open an email from the sender, click the three-dot menu icon, and select "Filter messages like these." Then choose your preferred action, such as "Never send to Spam."

Practical takeaway: Use Gmail's "Report not spam" feature when retrieving emails from known senders. This trains the system to recognize legitimate messages from that sender in the future.

Retrieving Emails from Junk in Outlook and Hotmail

Outlook and Hotmail use a similar but slightly different process for managing junk emails. Start by logging into your account and locating the "Junk Email" folder in your folder list on the left side of the screen. If you don't see it immediately, you may need to click "More" or expand your folder options. Click on "Junk Email" to view all messages that have been filtered.

To move a single email from junk to your inbox in Outlook, right-click on the message you want to retrieve. A context menu will appear with several options. Look for and click on "Move" and then select "Inbox" from the submenu. Alternatively, you can select an email and then click on the "Move" button in the toolbar at the top of your screen, which provides similar options.

For multiple emails, select them by clicking the checkboxes next to each message. You can select several individual emails or use the checkbox at the top to select all messages visible on the current page. Once selected, click the "Move" button and choose "Inbox." This action moves all selected emails at once.

To prevent future emails from the same sender from being filtered, Outlook offers the "Safe Senders" list. When you retrieve an email from someone, you can right-click on their email address and select "Add to Safe Senders List." This tells Outlook to always deliver future emails from that sender to your inbox. You can also access your Safe Senders list directly by going to Settings > Mail > Junk Email. From there, you can manually add email addresses or entire domains to your safe list.

Outlook also allows you to create rules for managing emails automatically. In Settings, look for "Mail Rules" or "Inbox Rules" depending on your version. You can create a rule that automatically moves emails from specific senders into your inbox or a particular folder. This is particularly useful if you receive regular emails from a source that keeps getting filtered.

Practical takeaway: Add senders you trust to Outlook's Safe Senders list to prevent their future emails from being filtered, reducing the need to manually retrieve messages later.

Moving Emails from Spam in Yahoo Mail and Other Providers

Yahoo Mail stores filtered emails in the Spam folder, which you can access through your folder list. Click on "Spam" in the left sidebar to view messages that Yahoo's system flagged as unwanted. The process for moving emails is similar to other providers but has some Yahoo-specific features worth knowing about.
