Learn How to Create a Teams Meeting Link

Understanding Microsoft Teams and Meeting Links

Microsoft Teams is a collaboration platform developed by Microsoft that allows people to communicate through video calls, audio calls, instant messaging, and file sharing. A Teams meeting link is a unique URL that invites participants to join a specific meeting at a scheduled time. Instead of needing to install software or enter complex meeting codes, participants can simply click the link to join the conversation.

Teams meeting links work across different devices and operating systems. Whether someone uses a computer, tablet, or smartphone, and whether they use Windows, Mac, iOS, or Android, they can join through the same link. This flexibility makes Teams meetings accessible to a wide range of people. The platform is used by businesses, educational institutions, nonprofits, and community organizations.

When you create a meeting link in Teams, the platform generates a specific web address that contains the meeting details. This link remains consistent for recurring meetings, making it easy to share the same link multiple times. For one-time meetings, you generate a unique link each time. The link includes information about the meeting organizer, the scheduled time, and security settings you've configured.

Understanding how Teams meeting links function helps you choose the right method for your situation. Different scenarios call for different approaches—whether you're scheduling a formal business meeting with advance notice or hosting a spontaneous discussion. Knowing your options allows you to set up meetings that match your specific needs and audience.

Practical takeaway: Teams meeting links provide a straightforward way to invite people to meetings without requiring recipients to have a Teams account or special software. The link format changes based on whether your meeting is recurring or one-time, which affects how you share and manage it.

Creating a Teams Meeting Link from the Calendar

The calendar method is one of the most common ways to create a Teams meeting link. This approach works well when you know in advance that you need to schedule a meeting and want to include specific participants. To begin, open Microsoft Teams on your computer and look for the "Calendar" icon on the left side of your screen. Click on it to view your calendar interface.

Once you're in the calendar view, you'll see options to create a new event. Look for a button labeled "New meeting" or a plus sign (+) icon. Click this button to start creating a new meeting. A form will appear where you can enter the meeting details. Fill in the meeting title in the "Add title" field—this should be something clear that describes what the meeting is about, such as "Budget Review Meeting" or "Team Project Update."

Next, set the date and time for your meeting. Click on the date field and select the day you want to hold the meeting. Then click on the time fields to set the start time and end time. Be realistic about how long your meeting will last—this helps participants plan their schedule around your meeting. Teams typically defaults to one hour, but you can adjust this to match your needs.

Add participant email addresses in the "Add required attendees" field. Type the email addresses of people you want to invite, separating multiple addresses with semicolons. You can also add optional attendees if there are people who don't need to attend but might find the meeting useful. Once you've entered all the details, look for a "Save" or "Schedule" button and click it.

At this point, Teams automatically generates a meeting link and includes it in the calendar invitation. You don't need to do anything special to create the link—it's created automatically when you save the meeting. Participants will receive a calendar invitation through their email, and the invitation includes the Teams meeting link they can click to join.

Practical takeaway: Creating a meeting through the calendar is straightforward and ensures that all participants receive an invitation with the meeting link included. This method keeps everything organized in one place and participants have a clear record of the meeting time and link.

Generating a Teams Meeting Link During a Chat or Call

Sometimes you want to start a meeting without planning it in advance. Teams allows you to create a meeting link directly from a chat conversation or during a call. This spontaneous approach works well for quick team check-ins, brainstorming sessions, or when participants are already communicating and decide they need to meet face-to-face.

To create a meeting link from a chat, open the chat conversation with the person or group you want to meet with. Look for the "Meet" button or icon near the top of the chat window—it typically shows a video camera or phone symbol. Click this button, and Teams will create an instant meeting link for that chat. The link is shared directly in the chat conversation, so everyone in the chat can see it and click to join.

If you're already on a call with someone and want to include additional people, you can add them through the meeting interface. Look for an "Add people" or "+" button during the call. Click it and search for the person's name or email address. Once you've selected them, an invitation is sent with the meeting link, and they can join the call. This is useful when a conversation naturally grows beyond the original participants.

When you create a meeting this way, the link is temporary and specific to that conversation. Once everyone leaves the meeting, the link may not remain active in the same way. If you need to hold a recurring meeting at the same link, the calendar method provides better continuity. However, for one-time or informal meetings, the chat-based approach is quick and efficient.

The advantage of this method is speed and context. The meeting link stays connected to the conversation where it originated, so participants understand the topic and background. There's no need to wait for calendar invitations or schedule things in advance. The disadvantage is that people who see the chat later might not realize a meeting occurred, and there's less formal record-keeping.

Practical takeaway: Creating a meeting link from a chat is the fastest way to move a conversation to video, useful for spontaneous meetings. The link lives within the chat context, making it easy for participants to understand what the meeting is about.

Customizing Your Teams Meeting Link Settings

After creating a Teams meeting link, you have options to customize how the meeting functions. These settings control who can join, when they can join, and what they're allowed to do during the meeting. Understanding these options helps you create a meeting environment that matches your needs and security requirements.

One important setting is "Who can bypass the lobby?" The lobby is a waiting area where people who join the meeting wait until the organizer admits them. You can set this to allow anyone to join directly, allow only people in your organization to join directly, or require all participants to wait in the lobby. If you're holding a public meeting or expecting many external participants, you might allow everyone to join directly. For sensitive discussions with internal teams, requiring the lobby gives you control over who enters.

Another key setting is "Allow participants to turn on their camera and microphone." By default, participants can use video and audio, but you can disable these options if you want everyone to listen only or if you want to control when cameras and microphones are active. Some organizations use this setting for webinars or presentations where the audience shouldn't broadcast audio or video.

You can also set whether participants are allowed to record the meeting. Recording allows people to save a copy of the meeting for later review. If you want to prevent recordings, you can disable this option. This is particularly important for meetings with sensitive information. When you disable recording, participants cannot save a copy themselves, though you as the organizer may still have the option to record.

Meeting end time settings let you control when the meeting automatically ends. You can set a specific end time, or you can allow the meeting to continue indefinitely. For scheduled meetings, setting an end time helps keep discussions focused and ensures meeting rooms are available for other events.

The "People dialing in" setting controls whether participants can join through phone audio instead of using computer speakers and microphones. If participants are in locations with poor internet but reliable phone service, allowing phone dial-in gives them another way to join. If you don't need this feature, disabling it can reduce confusion about how to join.

Practical takeaway: Customizing your meeting settings before sharing the link helps you control the meeting experience. Consider your audience and the sensitivity of the content when deciding on lobby requirements, camera and microphone permissions, and recording rules.
