Learn How to Change Your Outlook Email Font

Understanding Outlook Email Font Basics

Microsoft Outlook allows you to change the font that appears in your emails, giving you control over how your messages look to both you and your recipients. The font you choose affects the text displayed in the email body, and understanding your options can help you select text that's readable and matches your communication style.

Outlook offers several built-in font choices, including common options like Arial, Calibri, Times New Roman, and Cambria. Each font has different characteristics. Serif fonts like Times New Roman have small lines at the ends of letters, while sans-serif fonts like Arial do not. Some people find sans-serif fonts easier to read on screens, while serif fonts are often used in printed materials.

When you change your font settings in Outlook, the change typically applies to new emails you compose. Existing emails you've already sent retain their original formatting. Recipients will see your chosen font when they open your message, though their email client might display it differently if they don't have that font installed on their computer. In those cases, Outlook automatically substitutes a similar font.

Font size is equally important as the font type itself. Outlook typically defaults to 11-point font, but you can select sizes ranging from smaller text to larger, more prominent displays. A font size of 10 to 12 points is generally considered standard for business emails, as it balances readability with screen space.

Practical Takeaway: Before making changes, consider your audience and context. Professional emails often benefit from standard fonts like Calibri or Arial in 11-point size, while personal communications might use different selections based on your preference.

Changing Font in Outlook Desktop Version

To change your font in the Outlook desktop application (Windows or Mac), start by opening Outlook and navigating to the menu that contains your settings. On Windows, this is typically found under the "File" menu, where you'll select "Options" and then "Mail." On Mac versions of Outlook, you'll go to "Outlook" in the top menu bar and select "Preferences."

Once you're in the settings area, look for a section labeled "Composing messages" or "Message format." This area contains options for how Outlook formats text when you write new emails. You'll see a button or link that says "Stationery and Fonts" or simply "Fonts." Click this option to open the font selection dialog.

In the font dialog, you'll see three tabs or sections: one for "New Mail," one for "Replying or Forwarding," and sometimes one for "Composing." The "New Mail" tab controls the font for brand-new emails you write from scratch. Here, you can click on the font dropdown menu to see all available fonts installed on your computer. Select the font you prefer, then choose your desired size from the size dropdown.

You can also set the color of your text in this same dialog by clicking on the color option. Most people keep text black or dark gray for professional communication, but you have flexibility. Some versions of Outlook also allow you to set font effects like bold or italic as your default, though these are less commonly used as standard settings.

After making your selections, click the "OK" button to apply these changes. These settings will now be your default for all new emails you compose going forward. You can always override these defaults by manually selecting a different font when composing a specific email.

Practical Takeaway: Write down the path to your settings (File > Options > Mail > Stationery and Fonts on Windows) so you can quickly return to these options if you want to make adjustments later.

Using Outlook Web Access to Modify Font Settings

If you use Outlook Web Access (also called Outlook on the web or OWA), the process for changing your font is different from the desktop version. Outlook Web Access is the browser-based version of Outlook, accessible by logging into your email account through a web browser like Chrome, Safari, or Edge.

To access font settings in Outlook Web Access, first log into your account and look for a settings icon, typically represented by a gear symbol in the upper right corner of the screen. Click this gear icon and select "View all Outlook settings" or simply "Settings" depending on your version. This opens a settings panel on the right side of your screen.

Within the settings panel, look for a section called "Mail" or "Compose and reply." Under this section, you should find an option for "Message format" or "Formatting options." Some versions of Outlook Web Access may have this under "Composing messages." Click on this option to reveal formatting choices.

Once you've found the formatting section, you'll see options to select your preferred font and size. Unlike the desktop version, Outlook Web Access may have a more limited selection of fonts available. This is because web browsers display fonts differently than desktop applications. Common web-safe fonts like Arial, Georgia, and Verdana are typically available.

After selecting your font and size preferences, look for a "Save" button at the bottom of the settings panel. Click this to apply your changes. In Outlook Web Access, these settings apply to new emails you compose and usually override default settings for that account.

One important note: if you switch between the Outlook desktop application and Outlook Web Access, they may maintain separate font settings. This means your preferred font in the desktop version might differ from your preference in the web version, and you may need to adjust settings in both places if you use both regularly.

Practical Takeaway: Test your font choices by sending yourself a test email and viewing it in different email clients (like Gmail or another email provider) to see how your chosen font displays across different platforms.

Changing Font for Specific Emails and Replies

While setting a default font for all your emails is useful, there are times when you may want to change the font for a single email or message thread without affecting your overall settings. Outlook allows you to do this by manually changing the font while composing a specific message.

When you're composing an email in Outlook (either desktop or web version), you'll see a toolbar at the top of the compose area. This toolbar contains formatting options including font selection. In the desktop version, look for a dropdown menu that displays your current font name. Click this dropdown to see available fonts and select a different one for just this email.

You can also select specific text within your email and change only that text's font or size. To do this, highlight the text you want to change by clicking and dragging your mouse across it. Then use the font dropdown in the toolbar to select a different font for just that selected text. This allows you to emphasize certain portions of your email with different formatting.

For replies and forwarded emails, you can similarly change the font before you send the message. Some users prefer to keep their reply text in a standard font while quoting original message text in a different style to distinguish between old and new content. Outlook allows this kind of customization.

In Outlook Web Access, the process is similar. When composing a message, click in the compose area and look for the formatting toolbar. You may need to click a "Format" button or similar option to reveal the full toolbar with font selections if it's not immediately visible.

It's worth noting that if you change a font for a specific email, it doesn't change your default settings for future emails. Each email you compose starts with your default font unless you manually change it. This is useful when you need occasional variety without having to adjust your overall preferences.

Practical Takeaway: Use font changes strategically in professional emails—changing fonts for emphasis can be effective, but using too many different fonts makes emails look unprofessional and harder to read. Stick to one or two fonts per message.

Understanding Font Compatibility and How Recipients See Your Emails

One important consideration when choosing a font for your Outlook emails is how recipients will view that font on their devices. Not every computer or email client has every font installed. If you select an uncommon or specialty font and send it to someone who doesn't have that font on their system, their email client will substitute it with a similar font automatically.

Fonts fall into categories called "web-safe" fonts and specialty fonts. Web-safe fonts are widely available on most computers and devices. These include Arial, Verdana, Georgia, Times New Roman, Courier New, and Calibri. When
