Learn How Gift Cards Work Before You Buy

What Gift Cards Are and How They Work

A gift card is a prepaid card that holds a specific dollar amount of value, much like a voucher or coupon. When you purchase a gift card, you're buying stored money that can be used at a particular store or restaurant. The card contains information about how much money it holds, and when someone uses it to make a purchase, the balance decreases by the amount spent. For example, if you buy a $50 gift card and use $15 of it, the remaining balance becomes $35.

Gift cards come in two main categories: closed-loop and open-loop. Closed-loop gift cards work only at specific retailers or chains—like a card that's only usable at a particular coffee shop or clothing store. Open-loop gift cards, such as Visa or Mastercard branded versions, work anywhere those payment methods are accepted, giving the recipient more flexibility about where to spend the money.

The technology behind gift cards involves magnetic strips or chip technology that stores the card's balance and identification number. When you swipe or insert a gift card at a register, the store's system reads this information and checks the remaining balance. If the purchase amount is within the balance, the transaction goes through and the balance is reduced. If the purchase exceeds the balance, the card declines and cannot be used for that transaction.

Gift cards have become increasingly popular over the past 15 years. According to the National Retail Federation, Americans spent over $30 billion on gift cards in 2022, representing about 4% of all holiday spending. This growth reflects how common they've become as gifts for various occasions beyond holidays, including birthdays, graduations, and corporate rewards.

Practical takeaway: Understanding that gift cards are simply prepaid money stored on a card will help you make informed decisions about purchasing and using them. Different types of cards offer different flexibility—think about whether you want the recipient to have choices or prefer they shop at a specific place.

Checking Card Balance and Transaction History

Before you spend a gift card or give it away, you should know how much money remains on it. Most retailers offer several methods to check a gift card's balance. The most common way is to visit the store's website and find a "check balance" tool. You'll typically enter the card number and a PIN or security code found on the back of the card. This process usually takes just a few seconds and shows your current balance immediately.

Many stores also allow you to check balances by phone. You can call the customer service number listed on the gift card's back and speak with a representative who can look up your balance. This method works well if you're not comfortable using online tools or if you're having trouble accessing the website. Some stores even offer text message balance checks—you text the card number to a specific number and receive your balance via text reply.

In-store balance checks represent another option. You can visit any location of the retailer and ask a staff member to scan your card or check the balance in their system. This method is helpful if you're already planning to shop there, though it may take longer than checking online or by phone. When you check your balance at the register while making a purchase, the system automatically shows how much you have available.

Understanding your transaction history matters when you've used a gift card multiple times. Some retailers provide detailed receipts showing what you purchased and when. Keeping these receipts helps you track spending and verify accuracy. If a transaction seems wrong, you have documentation to support your claim. Many retail websites also allow you to view your recent transactions if you create an account and link your gift card to it.

Gift card balances typically don't expire immediately, but policies vary widely. Some cards maintain their value indefinitely, while others have expiration dates ranging from one to five years after purchase or first use. Federal law requires that gift cards purchased after August 22, 2010, must remain valid for at least five years in most cases, though state laws may provide longer protections. Reading the card's terms and conditions reveals the specific expiration policy.

Practical takeaway: Check your gift card balance before making a purchase so you know exactly how much you can spend. Set a reminder if the card has an expiration date, and keep your receipts to track how you've used the card over time.

Understanding Fees, Expiration Dates, and Terms

Gift card fees have become a significant concern for consumers. When you purchase a gift card, the store may charge an activation fee ranging from $2.50 to $10, depending on the retailer and card type. Some stores don't charge purchase fees at all, while others charge a standard fee on every card sold. Before buying a gift card, check whether the store charges a purchase fee. This information usually appears on the card's packaging or is stated by the cashier during checkout.

Inactivity fees represent another type of charge to watch for. Some gift cards assess monthly or quarterly fees if the card isn't used for a certain period—often 12 months or more. These fees can range from $1 to $5 per month and significantly reduce the card's value over time. For example, a $50 gift card with a $2 monthly inactivity fee would lose $24 in value over a year without any purchases. Reading the fine print on the back of the card or checking the retailer's website reveals whether inactivity fees apply.

Expiration dates vary considerably among gift cards. Federal law requires that most gift cards remain valid for at least five years from either the date of purchase or the date of last use. However, some states offer stronger protections. California, for instance, requires gift cards to remain valid for 10 years. Additionally, some retailers voluntarily maintain their gift cards indefinitely. Checking the card's terms and the retailer's policy ensures you understand the timeline for using your card.

Replacement policies matter when a gift card is lost, stolen, or damaged. Some retailers will replace a gift card and restore the balance if you can provide proof of the original card number and remaining balance. Others refuse to replace cards entirely. This policy should influence your decisions about keeping gift cards safe and storing their numbers in a secure location. Taking a photo of the card before giving it as a gift provides backup documentation of the number.

State and federal regulations govern gift card terms. The Federal Trade Commission enforces rules about clear disclosure of terms and conditions. Gift cards purchased for personal use have stronger legal protections than those purchased for business purposes. Reading the terms of service before purchasing provides understanding of what you're getting into regarding fees, expiration, and use restrictions.

Practical takeaway: Always read the back of the gift card and check the retailer's website for information about fees and expiration dates before purchasing or using a card. A $50 gift card with high inactivity fees may only be worth $35 after a year of non-use.

Using Gift Cards Strategically and Protecting Your Balance

Knowing how to use gift cards strategically helps you maximize their value. When you have a partial balance remaining—say $8 left on a $50 card—consider combining it with another payment method to complete your purchase. Most retailers allow you to pay with a gift card for part of a transaction and then use a debit or credit card for the remainder. This approach ensures you use the full value rather than leaving money unused on the card.

Protecting your gift card information matters as much as protecting credit card numbers. Never share your gift card number via email or over the phone unless you're contacting the retailer directly using a number from their official website. Scammers have been known to ask people for gift card information under various pretexts, and once the number is compromised, the funds are typically gone. Treat your gift card number the same way you'd treat a credit card number.

Storing gift cards safely prevents loss and theft. Keep physical cards in a wallet, drawer, or safe place rather than leaving them in plain sight. For digital gift cards received via email, save the email and don't delete it. Create a spreadsheet or document listing all your gift card numbers, balances, and expiration dates and store it in a secure location—never in a public cloud storage system. This backup information proves invaluable if a card is lost or damaged.

Beware of gift card resale sites and secondary markets. While some legitimate platforms resell unused gift cards, scams exist where people sell worthless or invalid cards to unsuspecting buyers. If you must purchase from a reseller, choose established companies with buyer protection policies and thoroughly verify the card's balance before completing the purchase. Many retailers will check a balance before you buy from a res
