Learn About CAGE Codes for Your Business

What Is a CAGE Code and Why Your Business Needs One

A CAGE code is a unique identification number assigned to businesses that sell products or services to the federal government. The acronym CAGE stands for Commercial and Government Entity. Think of it as a business ID number specifically for government contracting purposes. The federal government uses CAGE codes to track which companies it does business with, similar to how a Social Security number identifies individuals.

If your business wants to bid on government contracts, supply materials to federal agencies, or work as a subcontractor on federal projects, you will likely need a CAGE code. The code appears in government databases and procurement systems. Federal agencies use these codes to verify vendor information, check payment history, and manage contracts. Without a CAGE code, your business may not appear in government purchasing systems, which means contracting officers cannot find you or do business with you officially.

The CAGE code system has been in place since the 1960s and is maintained by the Defense Logistics Information Service (DLIS), which operates under the Department of Defense. Over the decades, millions of businesses have been assigned CAGE codes. The system includes both active companies currently working with the government and inactive codes for businesses that no longer pursue federal contracts.

CAGE codes are not the same as other business identifiers. Your Employer Identification Number (EIN) from the IRS identifies your business for tax purposes. Your DUNS number (from Dun & Bradstreet) tracks your business creditworthiness. Your CAGE code specifically identifies you within the federal government's contracting system. You may need all three numbers depending on what your business does.

Practical Takeaway: If your business currently sells or wants to sell to federal agencies, research whether you have an existing CAGE code by checking the System for Award Management (SAM) database. If you don't have one and plan to pursue government contracts, understanding the CAGE code system is an important first step in the federal contracting process.

How to Find Out If Your Business Already Has a CAGE Code

Before you request a new CAGE code, you should search for one that may already exist for your business. Many companies discover they have an existing CAGE code assigned years ago, sometimes by a contractor or government agency that previously purchased from them. Searching first prevents confusion and duplicate codes in the system.

The primary tool for searching CAGE codes is the System for Award Management (SAM), which is a free, publicly accessible database operated by the General Services Administration (GSA). SAM consolidates information from multiple federal databases, including the CAGE code registry. You can visit sam.gov and use the search function to look up your business by name, location, or any existing CAGE code you might know.

To search SAM effectively, use your exact business name as it appears on your business registration or tax documents. You can also search by your EIN or address. The search will show you active vendor records, past performance information, and any CAGE codes associated with your business. If you find an existing record, you can see details like your current business address, business type, and when the code was issued.

Sometimes businesses operate under multiple names or have name variations. If your first search doesn't find anything, try searching with alternative versions of your company name. For example, if you do business as both "ABC Manufacturing Inc." and "ABC Mfg," search for both versions. Government databases may have your business listed under a slightly different name format than you expect.

If your search shows no existing CAGE code, document this before requesting one. Take a screenshot or note the date and search terms you used. This documentation shows that you conducted a reasonable search, which is important if the government later questions why you obtained a new code or if there are any questions about duplicate records.

Practical Takeaway: Spend time searching SAM.gov before taking any other steps. Many businesses already have CAGE codes in the system from previous government transactions, so a thorough search can save you time and effort.

The CAGE Code Registration Process and What Information You'll Need

If your business does not have an existing CAGE code and you need one, you must register through the System for Award Management (SAM). SAM is the official federal system where businesses provide information about themselves for government contracting purposes. Registration is free, and there are no fees associated with obtaining or maintaining a CAGE code.

To register for a CAGE code through SAM, you will need specific business information. Have your Employer Identification Number (EIN) ready, as this is a required field. You'll also need your business address, business structure type (sole proprietorship, partnership, corporation, LLC, etc.), and the principal business activity code that matches your industry. If you don't know your activity code, SAM provides a searchable list to help you find the right classification.

You'll need to provide information about your business ownership and management. This includes the name and contact information for your company's authorized representative or principal owner. For some registrations, you may also need to provide information about your business's annual revenue, number of employees, and years in operation. These details help federal agencies understand your company's size and capabilities.

If your business has worked with the federal government before, you may already have a DUNS number from Dun & Bradstreet. SAM will request this number if it exists. If you don't have one and the system requires it, you can obtain a DUNS number for free from Dun & Bradstreet by contacting them directly or applying through their website.

The registration process in SAM requires you to create an account and complete all required fields. You will verify your business information and certify that the details you're providing are accurate. The system will then issue your CAGE code, which typically appears in the database within one to two business days. Some registrations may take longer if additional verification is needed.

Practical Takeaway: Gather all necessary business documents before starting your SAM registration, including your EIN, business license, and DUNS number if you have one. Having everything ready will make the registration process faster and reduce the chance of errors or missing information that could delay your CAGE code issuance.

Understanding CAGE Code Structure and What the Numbers Mean

CAGE codes follow a specific format that helps the government organize and identify businesses. A standard CAGE code consists of five characters, which can be either letters or numbers. For example, a CAGE code might look like "12AB3" or "ABC12." The format may seem random, but it serves organizational purposes within the federal contracting system.

The government assigns CAGE codes sequentially as businesses register, so there is no hidden meaning embedded in each individual code like there is with some other numbering systems. You cannot determine a business's industry, location, or size by looking at the code itself. The code is simply a unique identifier, similar to a reference number, that pulls up all the associated business information when entered into a government database.

When you see a CAGE code in government documents or procurement postings, it serves as shorthand to identify the specific business. Rather than typing out a company's full legal name, contract officers and procurement staff use the five-character CAGE code in their systems and communications. This standardization reduces errors and makes database searches faster.

Some older CAGE codes may have different formats because the system was updated over time. You may encounter four-character codes or codes with different character combinations in historical government records. However, modern CAGE codes assigned today follow the five-character format. If you encounter confusion about an older code format, the SAM database will show you the current standardized version.

It's important to keep your CAGE code consistent across all government contracting activities. Use the exact code assigned to you in all bids, proposals, invoices, and communications with federal agencies. Using a different variation or incorrect code can cause payment delays, lost proposals, or administrative problems. Treat your CAGE code as an official business identifier that must be accurate in all federal documents.

Practical Takeaway: Store your CAGE code in an easily accessible location and share it with all team members who handle government contracts or billing. Include it in your business records and on all federal bid documents to ensure consistency and prevent administrative errors.

CAGE Codes and Federal Contracting: How They're Used in Government Business

Federal contracting officers use CAGE codes as a fundamental tool for managing government purchases and contracts. When the government posts a contract opportunity or request for proposals, it often searches for potential vendors using SAM,
