Learn About Airbnb Cancellation Policies and Options

Understanding Airbnb's Main Cancellation Policy Options

Airbnb offers several cancellation policy choices that hosts can select when listing their properties. These policies determine what guests receive back if they cancel their reservations before arrival. The platform provides five standard policy types, each with different refund timelines and amounts. Understanding these policies helps both hosts and guests know what to expect if plans change.

The five main cancellation policies on Airbnb are: Flexible, Moderate, Strict, Super Strict, and Long-term. Each policy defines a specific timeframe during which guests can cancel and receive full or partial refunds. For example, under a Flexible policy, guests can typically cancel up to one day before check-in and receive a full refund. Under a Strict policy, the refund window is much shorter, often just 5-7 days before check-in. The Super Strict policy offers refunds only within a narrow window, and the Long-term policy applies to stays of 28 days or longer with its own refund structure.

Hosts choose their cancellation policy when creating a listing, and this choice significantly impacts booking rates and guest confidence. Properties with more lenient cancellation policies often attract more bookings because guests feel less financial risk. However, hosts with stricter policies may benefit from more predictable income. Guests should review the specific cancellation policy of any property before booking to understand their options if circumstances change.

Practical takeaway: Before you book an Airbnb, locate and read the cancellation policy on the listing details page. The policy name and specific refund terms will be clearly displayed so you understand what happens if you need to cancel.

How Refund Amounts Work at Different Cancellation Stages

Airbnb's refund structure works in phases based on when the cancellation occurs relative to check-in. The closer to check-in you cancel, the less money you typically receive back. Each policy has distinct phases that determine refund percentages. Understanding these phases helps guests make informed decisions about cancellation timing.

Under the Flexible policy, guests receive 100% refund if they cancel up to one day before check-in. If cancelled after that point but before arrival, the guest forfeits the entire reservation amount. The Moderate policy typically allows full refunds if cancelled 7 days or more before check-in, but only 50% refund for cancellations between 3-7 days before check-in. Cancellations within 3 days of check-in usually result in no refund. The Strict policy is more restrictive, offering full refunds only within 5-7 days of booking or specific dates far in advance, with no refunds for cancellations close to check-in.

Super Strict policies provide full refunds only within 2-7 days of booking, after which refunds are typically unavailable regardless of how far away the check-in date is. Long-term policies, used for month-long stays, often allow guests to cancel within 14 days of booking for a full refund, and may provide 50% refunds for cancellations beyond that point. These policies recognize that longer stays require different considerations than short trips.

Airbnb also distinguishes between the host's fee and the nightly rate when processing refunds. When a guest cancels, Airbnb typically refunds the guest's service fee and the nightly charges according to the policy, but the host's service fee is retained. Some cancellation circumstances, such as cancellations due to documented government restrictions or health emergencies, may have special refund provisions.

Practical takeaway: Before booking, calculate backward from your check-in date using the specific cancellation policy shown. Mark on your calendar when the refund deadline passes so you know the financial consequences of cancelling at different points.

Special Circumstances and Extenuating Cases

Beyond standard cancellation policies, Airbnb recognizes situations where guests may need to cancel due to circumstances beyond their control. These extenuating cases have distinct refund treatments that often differ from regular policy terms. Airbnb introduced expanded protections during challenging periods, and some provisions continue to apply today.

Documented government restrictions represent one category of extenuating circumstances. If a government agency issues a directive prohibiting travel, quarantines, or lockdowns that prevent a guest from traveling to their booked destination, Airbnb may allow full refunds even if the standard cancellation policy would not. Guests must typically provide documentation of the government order. Similarly, if the host's property is damaged or becomes unavailable due to a natural disaster, emergency, or other serious incident, guests can usually receive full refunds.

Health emergencies can also qualify for special consideration. If a guest or household member has documented illness or injury that makes travel unsafe or impossible, this may be grounds for refund exceptions. Documentation such as medical records or hospital letters is typically required. Some situations, like death of an immediate family member requiring the guest's presence, may also warrant special refund consideration.

It is important to understand that extenuating circumstances are evaluated on a case-by-case basis. Airbnb does not automatically refund all situations that seem difficult. Instead, guests must contact Airbnb directly, explain their situation, and provide supporting documentation. The company's Resolution Center allows guests to submit requests and communicate with hosts about cancellation situations. Airbnb's support team reviews the materials and makes decisions about whether refunds beyond the standard policy are warranted.

Practical takeaway: If you face an unexpected situation and need to cancel, contact Airbnb through the Resolution Center rather than assuming your standard policy applies. Gather any documentation you have—screenshots of government orders, medical records, or official notices—before making your request.

Communicating With Hosts About Cancellation Situations

Direct communication between guests and hosts often plays an important role in cancellation situations. While the standard cancellation policy provides the baseline framework, hosts sometimes show flexibility when guests explain their circumstances honestly and professionally. Understanding how to approach this conversation can sometimes lead to better outcomes than simply processing a cancellation through the system.

When you need to cancel, consider messaging the host before initiating the cancellation. Explain your situation respectfully and specifically. For instance, rather than a vague message, you might write: "I booked your property for April 15-18, but due to my employer postponing our office reopening, I need to cancel. I understand your policy allows for a 50% refund. Would you be open to discussing this?" This approach demonstrates respect for the host's policies while opening dialogue. Many hosts appreciate honesty and may offer refund consideration or alternative dates.

Some hosts maintain their own supplementary cancellation policies or show flexibility for first-time guests, guests with positive history, or situations they find sympathetic. However, hosts are not required to offer refunds beyond what Airbnb's policy guarantees. Additionally, if a host agrees to a larger refund than the policy allows, both parties should document this agreement through Airbnb's messaging system. This creates a record and helps prevent misunderstandings.

It is worth noting that hosts can also decline guest requests for refund exceptions. If a host says no, the standard cancellation policy governs the refund. Airbnb's system then processes the cancellation according to those terms. If you believe the host is not following the stated cancellation policy, you can escalate the matter through Airbnb's Resolution Center, where a support agent will review the policy and ensure it is applied correctly.

Practical takeaway: If cancellation becomes necessary, send a brief, honest message to the host before cancelling. Even if they cannot help, you lose nothing by asking, and many hosts respond positively to genuine circumstances explained respectfully.

How to Review and Understand Your Specific Listing's Policy

Each Airbnb listing has its own specific cancellation policy displayed during the booking process. Taking time to locate and carefully read this policy before confirming your reservation helps you avoid surprises if you later need to cancel. The policy information appears in several places on the Airbnb platform and in confirmation documents.

On the listing page, scroll to the "Cancellation policy" section, which typically appears below the pricing breakdown and above the house rules. This section shows the policy name and detailed terms, including specific cutoff dates and refund percentages. For example, it might state: "Moderate: Full refund if you cancel by April 10. 50% refund if you cancel between April 7-10. No refund if you cancel after April 10
