How To Write and Fill Out a Check

Understanding the Basics of Check Writing

A check is a written order that directs your bank to transfer money from your account to another person or business. Checks have been used for centuries as a way to pay bills and transfer funds without carrying large amounts of cash. Today, while digital payments are becoming more common, checks remain an important payment method. The Federal Reserve reported that in 2022, Americans wrote approximately 18 billion checks annually, showing that this payment method is still widely used across the country.

When you write a check, you are essentially creating a legal document that authorizes your bank to remove funds from your account. The person or business receiving the check is called the payee. The bank holding your account is called the drawee bank. Understanding these basic roles helps you complete checks correctly and avoid mistakes that could delay payment or cause bounced checks.

Checks come in different formats. Most personal checks are printed by your bank with your name, address, and account number already included. Business checks follow the same basic format but may include a company logo and tax identification number. Cashier's checks are issued directly by banks and are considered more secure because the bank guarantees the funds. Traveler's checks, once popular with travelers, are less common today but still exist.

Before you begin writing checks, you should have a checking account at a bank or credit union. Your bank will provide you with blank checks printed with your account details. Many banks charge a fee for ordering new checks, typically ranging from $8 to $15 per box of 50 checks. Some banks offer free checks to certain account holders or through online check printers, which may cost less than bank-ordered checks.

Practical Takeaway: Before writing your first check, confirm you have a checking account with available funds and understand your bank's check-related fees. Keep your checks in a safe location and order replacements before you run out, as this process typically takes 7-10 business days.

Locating and Understanding Check Fields

A standard check contains several important fields that must be filled in correctly. The check routing number appears in the bottom left corner and is a nine-digit code that identifies your specific bank branch. Directly to the right of the routing number is your account number, which identifies your personal account at that bank. These numbers allow the banking system to direct your payment to the correct location. The check number appears in two places: in the bottom right corner and in the upper right corner, making it easy to track which checks you have used.

At the top of the check, you will see your name and address pre-printed by the bank. This information helps the payee know who sent the check. The date line is where you write the current date. Many people overlook this field, but it is legally required and affects when the check can be cashed. A check written with a future date is called a post-dated check and cannot be deposited until that date arrives, though banks are not required to honor this practice.

The "Pay to the Order of" line is where you write the payee's name. This is one of the most critical fields because the check can only be cashed by the person or business named here. Writing an illegible name or misspelling the payee's name can create problems when they attempt to deposit the check. For businesses, use their official registered name rather than a nickname or informal version.

The large box on the right side of the check displays the amount in numerical form, such as $150.00. Below this, you write out the same amount in words, such as "One hundred fifty dollars." This redundancy exists as a fraud prevention measure. If the numerical and written amounts differ, most banks will contact you before processing the check. The memo line at the bottom left allows you to note the check's purpose, such as "January Rent" or "Medical Bill." This memo is optional but helpful for your records.

Practical Takeaway: Before writing any check, locate each required field on your check stock and understand what information belongs in each area. Take a moment to review a blank check and identify where the routing number, account number, date, payee, amount fields, and memo line are positioned so you can complete future checks quickly and accurately.

Step-by-Step Process for Writing a Check

Writing a check properly requires following a specific sequence to ensure accuracy and reduce the risk of errors. Begin by writing the date in the date field. Use the current date or the date when you want the check to be processed. Write the date in a standard format such as "January 15, 2024" or "01/15/2024." Avoid using just the day or month without the year, as this creates confusion. Never post-date a check unless you have a specific reason, since the payee may deposit it immediately regardless of the date written.

Next, write the payee's name on the "Pay to the Order of" line. Write clearly and use the complete legal name of the person or business. For example, write "Johnson Hardware Store" rather than just "Johnson's." If you are unsure of the exact name, contact the payee to verify it. Leaving this line blank or writing a generic name like "Cash" makes the check negotiable by anyone and creates a security risk. Once you write the payee's name, do not cross it out or use white-out to make changes, as this raises fraud concerns and may cause the check to be rejected.

Fill in the numerical amount in the large box on the right side of the check. Write the amount clearly using numbers and cents, such as "$250.50." Write this amount as far to the left of the box as possible to prevent someone from adding extra digits before it. For example, writing "$250.50" at the far left makes it harder for someone to alter it to "$1250.50."

On the line below the payee's name, write the same amount in words. For $250.50, you would write "Two hundred fifty dollars and 50/100." The fraction format for cents is standard in check writing. If the check is for a whole dollar amount with no cents, write "Two hundred fifty dollars and 00/100" or simply "Two hundred fifty dollars." Write this line clearly and leave no space between the words and the end of the line. If you make an error in the written amount, cross it out clearly and rewrite it, or void the check and start over.

Sign the check in the signature line on the bottom right corner. Use the same signature you registered with your bank. Banks compare your signature to prevent fraud. If someone else authorized you to sign on their behalf, ask them how they want you to sign the check, such as "John Smith, by Jane Doe" or "Jane Doe, Agent for John Smith." Finally, fill in the memo line if desired, noting why the check is being written. This step helps you track expenses and explains the payment to the recipient.

Practical Takeaway: Always fill out checks in this order: date, payee name, numerical amount, written amount, and finally your signature. Keep a record of every check you write by recording it in a check register or budgeting app, noting the date, payee, amount, and purpose. This practice helps you track spending and reconcile your bank statement.

Common Mistakes to Avoid When Writing Checks

One of the most frequent errors when writing checks is inconsistency between the numerical amount and the written amount. For instance, writing "$100" in the number box but "One hundred fifty dollars" in the written line creates confusion. Banks will typically honor the written amount, not the numerical amount, if they differ. The payee may refuse to accept the check or attempt to deposit it, creating processing delays. Always double-check that both amounts match before handing over the check.

Writing illegibly is another common problem that causes checks to be rejected or processed incorrectly. Use a pen with dark ink, not pencil, which can be erased. Write large enough that bank employees and the payee can read every word clearly. Avoid cursive writing if your handwriting is difficult to read; printing is acceptable and often clearer. Banks specifically warn against writing so small that check-scanning equipment cannot read the information accurately.

Signing a check with a different signature than the one registered with your bank causes delays or rejection. Your bank has a signature card on file that contains your authorized signature. Consistency is important for fraud prevention. If your signature has changed significantly over the years, contact your bank to update your signature card. Never ask someone else to sign your checks unless you have established a power of attorney or joint account arrangement with your bank.
