How to Send a Bank Wire Step by Step

Understanding Bank Wires and How They Work

A bank wire is a method of transferring money from one bank account to another, often across different financial institutions or even internationally. The process moves funds electronically through secure banking networks, making it faster than traditional checks or mail transfers. When you initiate a wire transfer, your bank sends a series of detailed instructions to the recipient's bank, including account numbers, routing information, and the exact amount to transfer.

Bank wires have existed in various forms for over a century, but modern electronic wires operate through networks like the Federal Reserve Wire Network (Fedwire) or the Society for Worldwide Interbank Financial Communication (SWIFT). These systems ensure that money moves securely and reliably between institutions. Domestic wires—transfers within the United States—typically arrive within one business day, while international wires may take several days depending on the destination country and any intermediary banks involved.

The cost of sending a wire varies by financial institution. Many banks charge between $15 and $50 for domestic wire transfers, while international wires often cost $25 to $75 or more. Some banks waive wire fees for customers who maintain certain account balances or meet other requirements. Credit unions may offer different pricing structures than traditional banks. It's worth checking your bank's fee schedule before sending a wire, as costs can add up if you send multiple transfers.

One key difference between wires and other payment methods is their permanence. Once a wire transfer is sent and received, it is generally considered final. Unlike checks, which can bounce, or credit card payments, which can be disputed, wire transfers are difficult to reverse. This makes wires ideal for large transactions where both parties are confident in the exchange, but it also means you must verify recipient details carefully before sending.

Takeaway: Bank wires are electronic transfers that move money between accounts through secure banking networks. They typically cost $15–$75 depending on whether the transfer is domestic or international, and they are generally permanent once sent.

Gathering Required Information Before You Send

Before you visit your bank or log into online banking to send a wire, you need to gather specific information about the recipient and their account. The most critical piece of information is the recipient's account number. This is the unique identifier for the account that will receive your funds. Account numbers are typically 8–12 digits long, though this varies by bank. You can usually find this number on a check, a bank statement, or by asking the recipient directly.

The routing number is equally important. A routing number is a nine-digit code that identifies the specific bank or credit union where the recipient holds an account. Every financial institution in the United States has a unique routing number. For domestic wires, you may need both the routing number and an ABA (American Bankers Association) number, which is often the same thing. You can locate a routing number by visiting the Federal Reserve's routing number database, checking your own bank statements, or calling the recipient's bank directly.

For the recipient's information, gather their full legal name exactly as it appears on their account. Middle initials and proper spelling matter because banks match this information when processing wires. If the name doesn't match the account, the transfer may be delayed or rejected. It's also helpful to have the recipient's address and phone number on hand, though this is not always required for domestic wires.

If you're sending money internationally, you'll need additional information. International wires require a SWIFT code, which is similar to a routing number but used for banks outside the United States. The SWIFT code is typically 8–11 characters long and identifies the bank and sometimes the specific branch. You may also need an IBAN (International Bank Account Number), which is a standardized account number format used in many countries. Some international transfers require an intermediary bank, which means the money passes through an additional institution before reaching the final recipient.

Create a checklist before you initiate the wire. Write down the recipient's full name, account number, routing number (or SWIFT code for international transfers), the amount you want to send, and your reason for sending the wire. This prevents mistakes during the transfer process. Double-check all numbers, as a single digit error could send money to the wrong account.

Takeaway: Gather the recipient's full legal name, account number, routing number (or SWIFT code for international transfers), and verify all details before initiating a wire to prevent errors or delays.

Step-by-Step Process for Sending a Domestic Wire

The process for sending a domestic wire varies slightly depending on whether you bank online or visit a branch in person. Many banks now offer wire transfers through their online banking platforms, which can be faster than visiting a physical location. To send a wire online, log into your bank's website or mobile app using your username and password. Look for a "Transfer Funds," "Send Money," or "Wire Transfer" option in the main menu. This is typically found under a section labeled "Transfers" or "Payments."

Once you've located the wire transfer option, select "Domestic Wire" or "Wire Transfer Within the US." Your bank will then ask you to choose whether you're sending to an existing recipient or a new recipient. If this is the first time you're sending money to this person or company, you'll need to add them as a new recipient. Enter all the information you gathered: the recipient's full name, their bank name, the routing number, and the account number. Most online banking systems will verify the routing number to make sure it's valid.

Next, enter the amount you want to transfer. Be precise with dollars and cents. You'll also see a field for "Reference" or "Memo"—this is optional but recommended. Use this space to note the purpose of the wire, such as "rent payment" or "invoice #12345." This information helps the recipient identify where the money came from and what it's for. Some banks limit this field to a certain number of characters, so keep it brief.

Before you confirm the transfer, review all the details one final time. Check that the recipient's name matches their account, the routing number is correct, and the account number is accurate. Most banks display a summary page showing exactly what will be sent. If everything looks correct, click "Confirm" or "Send." Your bank may ask you to verify your identity through a one-time code sent to your phone or email, depending on your security settings.

After you submit the wire, your bank will provide a confirmation number. Write this down or save it in your records. This number proves that you sent the wire and can be used to track the transfer if there are any questions later. The funds should arrive in the recipient's account within one business day for most domestic wires. Some banks offer same-day wires for additional fees, which means the money can arrive the same day if you send it before a certain cutoff time (usually mid-morning).

Takeaway: Send a domestic wire through your bank's online platform by selecting a new recipient, entering their name and account details, specifying the amount, and confirming the transfer. Save your confirmation number for your records.

The Process for International Wire Transfers

International wires follow a similar basic process to domestic transfers but require additional steps and information because the funds cross borders and currency may be involved. The most significant difference is that you need a SWIFT code instead of (or in addition to) a routing number. SWIFT codes are maintained by financial institutions worldwide and ensure that money reaches the correct bank in the correct country. You can find a SWIFT code by searching the recipient's bank name and country online, or by asking the recipient directly.

When you initiate an international wire through your bank's online system, you'll see options for the destination country and currency. Select the country where the recipient's bank is located. You'll then need to choose whether the amount you're entering is in US dollars or the recipient's local currency. If you're sending $1,000 USD to a recipient in Canada, for example, your bank will convert that to Canadian dollars at the current exchange rate and deduct fees from the conversion. Exchange rates fluctuate constantly, so the exact amount the recipient receives may differ slightly from what you see when you initiate the transfer.

International wires may pass through one or more intermediary banks before reaching the final destination. An intermediary bank is an institution that processes the transfer between the sending bank and the recipient's bank. This is common in international transfers and adds processing time. Your bank should provide you with the name and SWIFT code of any intermediary bank involved. Some international wires also include a reference number called a IBAN (International Bank Account Number) or a local account identifier
