How to Block an Email Address in Your Inbox

Understanding Email Blocking and Why You Might Need It

Email blocking is a feature available in most email services that stops messages from a specific sender from reaching your inbox. When you block an email address, messages from that sender typically go directly to your spam or trash folder instead of appearing in your main inbox. This feature serves several practical purposes for managing your email more effectively.

According to a 2023 report from Statista, the average office worker receives about 121 emails per day. Without filtering tools, your inbox can become overwhelming quickly. Blocking unwanted senders helps you focus on messages that matter. Common reasons people block email addresses include receiving repeated marketing messages they did not subscribe to, ongoing communication from someone they no longer wish to contact, harassment or threatening messages, or emails from accounts that have been compromised or are sending phishing attempts.

The blocking feature works differently depending on which email service you use. Gmail, Outlook, Yahoo Mail, and Apple Mail all have built-in blocking capabilities, though the specific steps vary slightly between platforms. Some email services offer additional features alongside blocking, such as unsubscribing from mailing lists, marking messages as spam, or creating filters that automatically sort incoming messages into folders.

It is important to understand that blocking an email address is not the same as unsubscribing from a mailing list. If you receive emails from a legitimate company and simply want to stop receiving their promotional messages, unsubscribing is usually the better option. Blocking should be reserved for addresses where you want to prevent any messages from arriving in your inbox at all.

Practical Takeaway: Before blocking an address, consider whether unsubscribing or marking messages as spam might better suit your situation. Blocking is most useful for addresses that repeatedly send unwanted or potentially harmful messages.

How to Block an Email Address in Gmail

Gmail is one of the most widely used email services, with over 1.8 billion users worldwide as of 2023. Blocking an email address in Gmail can be done in several ways, and the process is straightforward for most users. The most common method is to open an email from the sender you want to block, then look for the three vertical dots menu button located at the top right of the email message.

Once you click the three-dot menu, a dropdown list appears with various options. You will see an option that says "Block [sender's email address]." Click this option, and Gmail will ask you to confirm that you want to block this sender. After confirmation, all future emails from this address will automatically be filtered into your Spam folder. You will not receive notifications when blocked senders send you messages, and their emails will not clutter your inbox.

Another way to block someone in Gmail is through the Settings menu. Go to Settings, then click the "Filters and Blocked Addresses" tab. From there, you can scroll down to see a list of all addresses you have blocked. You can also add new addresses to your blocked list by clicking "Create a new filter" and entering the email address you want to block. This method is useful if you want to block someone before receiving their first email, or if you prefer managing all your blocked addresses in one location.

If you change your mind about a blocked sender, you can unblock them just as easily. Go to Settings, find the Filters and Blocked Addresses section, and look for the blocked address in the list. Click the "Unblock" option next to it, and the sender will be removed from your blocked list. Their future emails will start arriving in your inbox again, though Gmail will not move previous emails from this sender out of your Spam folder automatically.

Practical Takeaway: Remember that blocking in Gmail moves emails to Spam but does not delete them. You can still view blocked messages in your Spam folder if you need to review them later, and you can unblock addresses whenever you choose.

How to Block an Email Address in Outlook and Hotmail

Outlook, which includes Hotmail accounts, has a slightly different blocking process than Gmail but is equally straightforward. Whether you use Outlook.com, Outlook.office365.com, or the Outlook desktop application, the blocking feature works similarly. To block someone in Outlook.com, first find an email from the sender you want to block and click on it to open the message.

At the top of the email, you will see several action buttons. Look for the button that shows three horizontal dots (often called the "More" menu). Click this button to reveal additional options. From the dropdown menu, select "Block." A confirmation message will appear asking if you are sure you want to block this sender. Once you confirm, Outlook will move the sender's address to your blocked list, and all future emails from this address will be redirected to your Junk folder.

In the Outlook desktop application, the process is slightly different. Right-click on the email from the sender you want to block. In the context menu that appears, look for an option labeled "Block." Click it, and a dialog box will appear confirming your action. After you confirm, Outlook will add this address to your blocked senders list. The application will automatically send future emails from this sender to your Junk folder.

Outlook also allows you to manage your blocked senders list directly through settings. In Outlook.com, go to Settings, then select "Mail," followed by "Junk email." You will see a section labeled "Blocked senders." Here, you can view all addresses you have blocked and add new ones manually by typing the email address into a field. You can also remove addresses from this list if you decide you want to receive emails from them again. This centralized location makes it simple to manage multiple blocked addresses at once.

Outlook includes a feature that distinguishes between blocking a single email address and blocking an entire domain. If you want to block all emails from a particular company or organization, you can add the domain name (everything after the @ symbol) to your blocked list instead of just the individual address. This is useful if you receive unwanted emails from multiple addresses within the same organization.

Practical Takeaway: Keep in mind that in Outlook, you can block entire domains, not just individual addresses. This option is helpful when dealing with unwanted bulk emails from a company sending from multiple sender addresses.

How to Block an Email Address in Yahoo Mail and Apple Mail

Yahoo Mail serves millions of users and offers a straightforward blocking feature. To block an email address in Yahoo Mail, open the message from the sender you want to block. At the top of the email, look for a button marked with three dots or lines. Click this button to open a menu of options. You should see an option labeled "Block." Click it, and Yahoo will add this address to your blocked list.

In Yahoo Mail, blocked messages do not automatically go to your Spam folder. Instead, they go to a separate folder called "Blocked." You can access this folder anytime to review messages from blocked senders if needed. This system keeps blocked emails separate from general spam, making it easier to manage them distinctly. If you realize you blocked someone by mistake, you can visit the Blocked folder, select the message, and click "Unblock" to restore communication with that sender.

Yahoo also allows you to manage your blocked senders list through the Account Info settings. Click on your account profile picture, select "Account Info," and then go to "Security and privacy." From there, you can access your blocked senders list, view all addresses you have blocked, and add or remove addresses as needed. This centralized approach makes it simple to review and modify your blocking preferences at any time.

Apple Mail, which comes built into iPhones, iPads, and Mac computers, has a different blocking approach. Unlike web-based email services, Apple Mail does not have a traditional "block" feature. Instead, you can mark emails as spam or junk, which trains Apple's filter system to recognize similar messages in the future. To do this, open an email from the sender you want to block, then click "Report Junk" or use the mail filtering options. Over time, this helps Apple Mail recognize and filter emails from similar sources.

For those using Apple Mail on a Mac, you can create rules that automatically delete or move emails from specific addresses. Go to Mail preferences, select the "Rules" tab, and create a new rule specifying the sender's address. You can set the action to move those emails to trash or a specific folder. This achieves a similar result to blocking, even though it is technically a filtering rule rather than a blocking feature.
