How to Attach Photos to Your Email

Understanding Email Attachments and File Types

An email attachment is a file that you send along with your email message. Instead of typing information directly into the email body, you can attach a photo file and send it to one or more recipients. When someone receives your email, they will see the photo as a separate file they can open, save, or download to their device.

Photos come in different file formats, which are ways of storing image data. The most common formats for photos are JPEG (also written as JPG), PNG, and GIF. JPEG files are the standard format used by digital cameras and smartphones. A typical JPEG photo might range from 1 to 5 megabytes in size, depending on the camera quality and image resolution. PNG files offer higher quality and support transparent backgrounds, but they take up more storage space. A PNG file of the same photo might be 2 to 10 megabytes. GIF files are usually smaller and work well for simple images or animations.

File size matters because email providers limit how large an attachment can be. Most email services allow attachments between 20 and 25 megabytes per email. Gmail allows up to 25 megabytes, Outlook allows up to 20 megabytes, and Yahoo Mail allows up to 25 megabytes. If your photo file is too large, your email may not send, or the recipient may not receive it. Many people take multiple high-resolution photos with modern smartphones, and these can quickly add up in total file size.

Before attaching photos, you should know what format and size your files are. On a Windows computer, right-click on a photo file and select "Properties" to see the file size and type. On a Mac, right-click the file and select "Get Info." On smartphones, most photo apps display file information when you select an image. Understanding these details will prevent problems when sending.

Practical takeaway: Check your photo file size before attaching. If a single photo is over 5 megabytes or you are sending multiple photos, consider resizing them first to avoid email delivery problems.

How to Attach Photos Using Web-Based Email (Gmail, Outlook, Yahoo)

Web-based email services are email accounts you access through your internet browser rather than a special program installed on your computer. Gmail, Microsoft Outlook (outlook.com), and Yahoo Mail are the three largest web-based email providers, with over 1.5 billion combined users worldwide. These services make it straightforward to attach photos in just a few steps.

To attach a photo in Gmail, start by opening your Gmail account and clicking the "Compose" button. This opens a new email window. Type in the recipient's email address, subject line, and any message text you want to include. Below the message area, you will see a paperclip icon—this is the attachment button. Click the paperclip icon, and your computer will open a file browser window. Navigate to the folder where your photos are stored, select the photo you want to attach, and click "Open." The file will upload to Gmail, and you will see it listed below the message area with the filename and file size.

For Outlook.com, the process is very similar. Click "New Message" to start a new email. After typing your message, look for a "+" icon or paperclip icon near the bottom of the compose window. Click it and select "Attach" from the menu. Choose your photo file and click "Insert." The photo will appear in the attachment section. You can attach multiple photos by repeating these steps.

Yahoo Mail works in the same way. Open a new message, and look for a paperclip or attachment icon below the message text area. Click it, browse to your photo, and select it. Yahoo will display the file name once it is attached. All three services show you the file size and allow you to remove an attachment if you change your mind—just look for an "X" or "Remove" button next to the filename.

A helpful feature of web-based email is that you can usually attach multiple photos at once. When the file browser opens, hold down the "Ctrl" key on Windows or "Command" key on Mac while clicking on multiple photos. All selected photos will attach to your email. This feature is useful when sending several related photos to the same recipient.

Practical takeaway: The attachment button is usually a paperclip icon located near the message text area. If you cannot find it, look in the menu options or check your email provider's help section for the exact location on your service.

Attaching Photos on Desktop Email Programs (Outlook, Apple Mail, Thunderbird)

Desktop email programs are applications installed directly on your computer. Unlike web-based email, you use these programs offline by downloading emails from your provider's server. Common desktop programs include Microsoft Outlook (part of Microsoft Office), Apple Mail on Mac computers, and Mozilla Thunderbird, which is free and works on Windows, Mac, and Linux systems.

In Microsoft Outlook on Windows, open a new email message by clicking "New Email" in the toolbar. The compose window will appear. Type your recipient's address, subject, and message. To attach a photo, click the "Attach File" button in the toolbar—it typically shows a paperclip icon. A file browser window opens, allowing you to navigate to your photo. Select the photo and click "Insert" or "Open." The attachment will appear in the "Attachments" line of your email. You can add multiple attachments by clicking the attach button again and selecting additional photos.

Apple Mail, which comes installed on all Mac computers, uses a similar method. Create a new message, and go to the "File" menu at the top of the screen. Select "Attach Files" or look for an attachment button in the toolbar (it looks like a paperclip). A file picker window will appear. Browse to your photo and click "Choose." The photo will now be part of your email. Mac users can also drag and drop photos directly into the email message—simply click and hold a photo from Finder and drag it into the compose window.

Mozilla Thunderbird is a free email program that works on multiple devices. Open a new message, and in the compose window, find the "Attach" button in the toolbar. Click it and select "File." Choose your photo from the file browser and click "Open." Thunderbird will display the attached file in the attachments section. One advantage of Thunderbird is that it clearly shows the total size of all attachments, which helps you stay under your email provider's size limits.

Desktop email programs often include additional options for managing attachments. You can usually drag and drop files, remove attachments before sending, and see a preview of attached images. Some programs also compress attachments automatically to reduce file size, though this may reduce image quality.

Practical takeaway: Desktop email programs use consistent attachment methods. Look for a paperclip icon or check the toolbar and File menu. If you use multiple programs, the basic steps are similar once you locate the attachment button in each program.

Attaching Photos From Your Smartphone or Tablet

Smartphones and tablets have become primary devices for taking and sending photos. Both iPhone and Android devices allow you to attach photos directly from your email app, and the process is fast and intuitive. Studies show that over 80 percent of emails are now opened on mobile devices, making smartphone email skills important for most people.

On an iPhone, open the Mail app and tap "Compose" to start a new message. Type the recipient's address and subject. Below the message text area, look for a "+" icon or paperclip icon. Tap it to access your attachment options. Select "Add Photo or Video." Your iPhone will open the Photos app, showing your photo library. Tap the photo you want to attach, and it will be added to your email. You can select multiple photos by tapping "Select" at the top, then tapping multiple photos before confirming. The attached photos will appear as thumbnails below your message text.

Android devices work similarly, though the exact buttons and menus vary by manufacturer and email app. If you use Gmail on Android, open the app and tap the compose button (pencil icon). After typing your message, tap the attachment icon (paperclip or plus sign). Choose "Attach file" and select "Images." Your photo gallery will appear. Tap the photos you want to attach. Some Android email apps allow you to select multiple images at once by holding your finger on the first image and then tapping others.

For iPad users, the process matches the iPhone method since both devices
