Understanding VFS Global and US Visa Services

VFS Global is a private company that processes visa matters on behalf of many government agencies, including the U.S. State Department. VFS does not make decisions about visa cases—that remains the responsibility of the actual government agency. Instead, VFS handles the practical side of things: they collect your documents, schedule your interviews, take your biometric information like fingerprints, and handle fees. Think of them as the administrative middleman between you and the official U.S. government office that decides visa cases.

The U.S. has visa services centers in many countries around the world. In some locations, VFS Global manages the appointment system and document collection process. In other places, you book appointments directly with the U.S. embassy or consulate. The country where you live determines which system you use. For example, if you live in India or the United Kingdom, you might use VFS to book your appointment. If you live in Canada or Mexico, you likely book directly with the embassy or consulate.

VFS Global operates visa application centers in over 140 countries. Their role is purely logistical. They don't review your documents for accuracy, don't decide whether your case is strong, and don't have any influence over visa approval or denial. The U.S. government official who interviews you makes all decisions about your visa case. VFS simply makes the process of getting your documents to the right place more organized.

Understanding this distinction matters because it shapes how you prepare. You're not preparing documents for VFS—you're preparing them for the U.S. government. VFS is just the service center that receives them first. This guide explains how to navigate the VFS appointment system, what to expect during the process, and what documents you'll typically need to gather.

Practical Takeaway: Before using any VFS service, confirm that VFS operates in your country. Visit the official VFS Global website and select your country to see whether VFS handles US visa appointments in your location, or whether you should contact the U.S. embassy or consulate directly.

Types of US Visas and When You Need an Appointment

The United States offers many different types of visas, and the process varies depending on which visa category applies to your situation. Tourist visas (called B-2 visas) are for people visiting the U.S. for vacation, visiting family, or short-term activities. Business visas (B-1) are for people attending meetings, conferences, or business activities. Student visas (F-1 or M-1) are for people studying at U.S. schools or universities. Work visas come in several varieties depending on your skill level and the sponsorship your employer provides. Family-based immigration visas are for people moving to the U.S. permanently through a family member who already lives there. Each category has different requirements and documentation.

Some visa types require an in-person interview, while others may not. For most visitor visas (tourist, business, student), you will need to appear in person at a VFS center or embassy/consulate for an interview. This is where the appointment becomes necessary. Work visas for specialty occupations typically require an interview as well. However, some categories—like certain diversity visa lottery cases or cases handled entirely by mail in rare circumstances—might not require an interview in person, though this is uncommon.

The type of visa you need depends on your purpose for travel. If you're unsure which visa category fits your situation, the official U.S. State Department website lists all visa types with descriptions. You can also contact the U.S. embassy or consulate in your country for guidance about which visa you need. Getting this right before you book an appointment is important because different visas require different documents, and booking the wrong appointment type will delay your process.

Age also matters for some visa types. Children traveling with parents might need separate visas, or they might travel on a parent's visa depending on citizenship and age. People over 79 years old have different interview rules in some locations. Emergency or urgent travel sometimes has special procedures. These factors all affect whether you need an appointment and when you can book one.

Practical Takeaway: Visit travel.state.gov and use their visa type finder tool to determine exactly which visa you need. Write down the specific visa category code (like B-2, F-1, or EB-3) before you attempt to book your appointment, because the VFS system will ask you to select your visa type.

How to Find the VFS Center Serving Your Location

VFS Global operates different service centers in different countries. Some countries have multiple locations. For example, in India, VFS operates visa centers in cities like Delhi, Mumbai, Bangalore, Kolkata, and Hyderabad. In the United Kingdom, there are centers in London, Manchester, and Belfast. The center you visit depends on which region you live in or can travel to. VFS makes it easy to find your local center by offering a location finder tool on their website.

To find your nearest VFS center, go to the VFS Global website and look for their location finder feature. You'll select your country of residence, then your city or region. The tool shows you the address, phone number, and sometimes the hours of operation for the nearest center. It also tells you which services that location handles. Some VFS centers are full-service locations handling document collection, biometric appointments, and payment. Others might only handle certain visa types or services. Knowing what your local center offers before you contact them saves time.

It's important to note that some countries do not use VFS Global for U.S. visas. If you live in Canada, Mexico, the Caribbean, or certain European countries, you book your appointment directly with the U.S. embassy or consulate. There's no intermediate VFS step. So before spending time searching for a VFS center in your country, confirm that the U.S. visa appointment system in your country actually uses VFS. The U.S. State Department website lists all locations where you can apply for visas, and it clearly indicates which ones use VFS.

VFS Global's website also provides information about which documents each location requires, typical processing times, and what to bring to your appointment. Some locations have online document submission options, while others require you to visit in person to submit everything. Reading this information about your specific center before you begin gathering documents prevents you from collecting the wrong paperwork or missing required items.

Practical Takeaway: Write down the full name, address, phone number, and operating hours of your local VFS center. Check their website section for your specific visa type to learn what documents they require and whether they offer online document submission.

Step-by-Step Process for Booking Your VFS Appointment

The process for booking a VFS appointment typically begins on the VFS website where you create an account. You'll need an email address and will create a password. After logging in, you'll access the appointment booking system. The first step is to provide your personal information: your full name as it appears on your passport, your date of birth, your passport number, and your country of residence. Double-check all details because mistakes here can cause problems later. Your name must match exactly with your passport.

Next, you'll select your visa type from a dropdown menu. This is where knowing your correct visa category (B-2, F-1, EB-1, etc.) matters. The system will show you available dates for appointments at your selected location. Availability varies by location and season. Tourist season and specific times of year often have fewer available slots because more people are applying. If you see no available dates, check back in a few days—cancellations create new openings. Some locations release appointment slots on specific days each week.

After selecting your date and time, you'll confirm your appointment and typically pay a fee through the VFS website. This fee is separate from the actual visa application fee you'll pay to the U.S. government. The VFS fee covers their service of collecting your documents and handling the logistics. Different countries have different fee amounts. You'll receive a confirmation email with your appointment details, a reference number, and instructions about what to bring. Keep this confirmation email—you'll need to show it when you arrive for your appointment.

Some VFS locations offer online document submission before your appointment, while others require all documents to be submitted in person. Check your center's specific requirements. If online submission is available, you can upload scanned copies of your documents through your VFS account. This can speed up the process, as the center will already have your paperwork before you arrive. If in-person submission is required, gather all your documents
