What Money Orders Are and How They Work

A money order is a paper payment method that works similarly to a check but with some key differences. When you buy a money order, you pay a fee (usually between $0.50 and $5) plus the amount you want to send. The issuer then prints a document showing who paid for it, who should receive it, and the exact amount. Money orders are safer than sending cash through the mail because they can be replaced if lost or stolen, and they require the recipient's name to be cashed.

Money orders have been used for over 100 years as a way for people without bank accounts to send money securely. The U.S. Postal Service issues about 500 million money orders annually, according to the Postal Inspection Service. Private companies like Western Union and MoneyGram also issue money orders. When someone receives a money order, they take it to a bank, check-cashing store, or other location that accepts them and exchange it for cash or deposit it into an account.

The main advantage of money orders over checks is that they're prepaid. This means the funds are already guaranteed. With a check, the bank must verify that the account holder has enough money. With a money order, the money was already collected when it was purchased. This makes money orders useful for situations where people want proof that payment is guaranteed. Landlords sometimes request money orders for rent, and businesses may accept them for mail orders when they don't want to wait for checks to clear.

Money orders differ from wire transfers, which move money electronically between bank accounts. Wire transfers are faster but often cost more (typically $15 to $50) and require both parties to have bank accounts. Money orders are physical documents that can be sent by mail, which makes them useful when electronic payment isn't possible or practical.

Practical takeaway: Understanding that money orders are prepaid, replaceable payment documents helps you decide when they might be the right choice for your situation compared to other payment methods.

Where to Purchase Money Orders

Money orders are available from many locations throughout the United States. The most common sources include the U.S. Postal Service (USPS), Walmart, Western Union, MoneyGram, grocery stores, banks, and check-cashing businesses. Each location may charge slightly different fees and have different maximum amounts they'll issue in a single money order.

The U.S. Postal Service issues money orders in amounts up to $1,000. The fee structure varies by amount: a money order up to $500 costs $1.10, and one from $500.01 to $1,000 costs $1.65. USPS locations are available in nearly every community, making them convenient for most people. You can purchase a USPS money order at any Post Office branch during business hours without needing a bank account.

Walmart offers money orders at customer service desks in most locations. Walmart's fees are typically lower than USPS, usually around $0.70 to $0.88 depending on the amount. Walmart money orders can be issued for amounts up to $1,000. This option is convenient if you're already shopping at Walmart or if there's no Post Office nearby.

Western Union and MoneyGram are private companies with thousands of agent locations nationwide, including grocery stores, pharmacies, and convenience stores. These companies often charge more than USPS or Walmart (typically $1 to $5 per money order depending on the amount) but may offer extended hours or more locations in some areas. They also offer international money transfer services if you need to send money outside the United States.

Many banks and credit unions also issue money orders for their customers, though some now issue them only to account holders. Check-cashing businesses, which are common in many neighborhoods, also sell money orders. These businesses typically charge between $1 and $3 per money order. Having multiple options available means you can choose based on convenience, cost, and location.

Practical takeaway: Comparing prices across USPS, Walmart, Western Union, and MoneyGram in your area can save you money, especially if you send money orders regularly.

Understanding Money Order Fees and Limits

Every money order purchase includes a fee in addition to the face value of the money order. This fee is the cost the issuer charges for providing the service. Understanding these fees helps you make informed decisions about when to use money orders versus other payment methods.

USPS fees are among the lowest available. For money orders under $500, the fee is $1.10. For amounts between $500.01 and $1,000, the fee is $1.65. This means if you're sending $500, your total cost is $501.10. If you need to send more than $1,000, you'll need to purchase multiple money orders, which means paying multiple fees. For example, sending $2,000 would require two $1,000 money orders costing $3.30 in total fees.

Walmart's money order fees are generally lower. Walmart charges approximately $0.70 to $0.88 per money order regardless of the amount (up to the $1,000 limit). This makes Walmart a cost-effective option for most transfers. The exact fee may vary slightly by location.

Western Union and MoneyGram fees vary more widely depending on the amount being sent. For small amounts under $100, fees might be $1 to $1.50. For larger amounts, fees can range from $2 to $5 or more. These companies may also offer variable pricing based on how quickly you need the money order available and other factors. Always ask about the total fee before purchasing.

It's important to note that money order limits exist. Most issuers set a maximum of $1,000 per money order. If you need to send more than $1,000, you must purchase multiple money orders. Some issuers may also have daily purchase limits, such as allowing only a certain number of money orders per day per customer. These limits exist partly as a fraud-prevention measure.

Practical takeaway: When sending $500 or less, compare USPS and Walmart fees—the difference of 22 to 40 cents may not seem large, but it adds up if you send money orders regularly.

How to Fill Out and Use a Money Order

Filling out a money order correctly is important because errors can delay payment or cause the money order to be rejected. Money orders have specific fields that must be completed. Understanding each field prevents mistakes that could prevent the recipient from cashing it.

When you purchase a money order, the issuer fills in the amount you paid for. Your job is to complete the remaining fields. The "Pay to the Order of" field should contain the exact name of the person or business that will receive the money. This is the most critical field. Write the recipient's name exactly as they expect it—for example, "John Smith" rather than "J. Smith," or the full business name if paying a company. Using an incorrect name can prevent the money order from being cashed.

The "From" or "Purchaser" field is where you write your name and address. This identifies who purchased the money order. Some issuers print this information on the stub automatically. The memo field is optional and is where you can write what the money order is for, such as "Rent for March" or "Payment for invoice #12345." This helps both you and the recipient keep track of what the payment was for.

Never sign a money order until you're ready to give it to the recipient. A signed blank money order can be cashed by anyone. If you make a mistake while filling it out, don't cross anything out. Instead, ask the issuer for a replacement. Most issuers will correct errors for free at the time of purchase.

To cash a money order, the recipient takes it to any location that accepts money orders—a bank, check-cashing store, grocery store, or Post Office. They'll need to sign the back of the money order and present identification. The issuer verifies that the money order is legitimate and hasn't been reported as lost or stolen, then provides the cash or deposits it into an account. Cashing typically takes a few minutes. If a money order is lost or stolen before it's cashed, the recipient or purchaser can file a claim with the issuer to receive a replacement.

Practical takeaway: Write the recipient's exact name, never sign until h
