Free Guide to Writing a Two Weeks Notice Email

Understanding What a Two Weeks Notice Email Is and Why It Matters

A two weeks notice email is a formal message you send to your employer to let them know you plan to leave your job. This email serves as an official record of your resignation and gives your company two weeks to prepare for your departure. The two-week timeframe is a standard professional practice in most industries, though some positions or locations may have different requirements outlined in employment contracts or company policies.

Sending a resignation email is important for several reasons. First, it demonstrates professionalism and respect for your employer. Even if you're leaving because you're unhappy with your job, a polite resignation email helps maintain positive relationships in your industry. Second, it creates documentation of your departure date. This protects both you and your employer by establishing a clear record of when you notified them and when your last day will be. Third, a well-written resignation email can influence future job references and recommendations from your current employer.

The two-week notice period serves practical purposes for both parties. Your employer has time to find a replacement, transfer your responsibilities, and train someone new to handle your work. For you, this period allows time to complete ongoing projects, document your processes, and leave on good terms. In some cases, employers may ask you to leave sooner or offer you more time—understanding how to handle these situations starts with sending a clear resignation email.

Many people worry about writing a resignation email because they're unsure what to include or how formal it should be. The reality is that most resignation emails follow a similar format and contain the same basic information. Understanding these key elements removes the guesswork and makes the process straightforward.

Practical Takeaway: Your two weeks notice email is a professional document that creates an official record of your resignation. It should be clear, respectful, and include your intended last day of work.

Key Information to Include in Your Resignation Email

A strong resignation email contains specific pieces of information that make your intentions clear to your employer. The first and most important element is a direct statement that you are resigning. Don't hint at it or use vague language. Use clear words like "I am writing to notify you of my resignation" or "I am resigning from my position as [your job title]." This directness prevents any confusion about your intentions.

Your intended last day of work should appear in the email, typically two weeks from the date you send it. For example, if you send the email on Monday, January 15, your last day would be Monday, January 29. You can state this as "My last day of work will be [specific date]" or "I am providing two weeks notice, with my final day being [date]." Including both the timeframe and the specific date removes any possibility of miscommunication about when you're leaving.

Express gratitude for the opportunities you've had at the company. This doesn't need to be lengthy or insincere—even a single sentence like "I appreciate the experience I've gained working here" shows professionalism. If you had positive experiences, you can mention them specifically. Examples might include skills you developed, projects you're proud of, or colleagues you valued working with. This positive language helps preserve your professional reputation.

Offer to help with the transition. Indicate your willingness to train your replacement, document your processes, or complete outstanding projects before you leave. Use language like "I'm happy to help with the transition" or "Please let me know how I can assist during these two weeks." This shows commitment to leaving the position in good condition.

Keep the email brief and professional in tone. Resignation emails should typically be three to four paragraphs—roughly 150 to 200 words total. Avoid overly emotional language, complaints about the job or company, or extensive explanations about why you're leaving. Save detailed discussions for an in-person conversation with your manager if appropriate.

Practical Takeaway: Your resignation email needs four main elements: a clear statement of resignation, your specific last day, thanks for the opportunity, and an offer to help with the transition.

How to Structure and Format Your Resignation Email

The structure of a resignation email follows a standard business letter format adapted for email. Start with a proper greeting using your manager's name: "Dear [Manager's Name]," or "Hi [Manager's Name]," depending on your workplace culture. If you're unsure about the formality level, slightly more formal is better for a resignation email. Avoid "Hey" or "Hello everyone"—address the email to your direct supervisor specifically, even if you'll need to notify others later.

The opening paragraph should contain your resignation statement and last day. This is the most important information, so put it first. Example: "I am writing to notify you of my resignation from my position as Marketing Coordinator. My last day of work will be Friday, February 12, 2024." This paragraph should be one to three sentences maximum. You're stating facts, not telling a story.

Your second paragraph expresses gratitude and can mention specific positive experiences if relevant. Example: "I'm grateful for the opportunity to work with such a talented team and the professional development I've received here. The skills I've learned will be valuable throughout my career." Keep this paragraph brief—two to four sentences works well. Focus on genuine appreciation rather than flattery.

The third paragraph addresses the transition. Example: "During my remaining two weeks, I'm committed to making this transition as smooth as possible. I'm happy to train my replacement, document my current projects, or answer any questions about my responsibilities." This shows you're thinking about your team's needs and not just leaving them in the lurch.

Close with a professional sign-off like "Sincerely," "Best regards," or "Thank you," followed by your full name. Include your phone number and personal email address below your name if they're not already visible in your email signature. This gives your employer multiple ways to contact you after you've left the company.

Practical Takeaway: Structure your email with: greeting, resignation statement with date, gratitude paragraph, transition paragraph, and professional closing with contact information.

Timing and Method of Delivery for Your Resignation

When you send your resignation email matters significantly. Ideally, send it early in the workday on a weekday, typically Monday through Thursday. Sending it on a Friday afternoon or late in the day on any day can make it seem rushed or like you're trying to avoid discussion. Early in the day gives your manager time to process the information and schedule a meeting if needed. Avoid sending resignation emails late at night, over the weekend, or on holidays.

Send your resignation email directly to your immediate manager or supervisor first—not to HR, not to the company as a whole, and not to your coworkers. Your direct supervisor deserves to hear about your resignation from you before anyone else finds out. After your manager has received and reviewed the email, they may ask you to notify HR or other relevant people, but the first communication should be one-on-one with your boss.

Consider whether you should have a conversation with your manager before sending the email. In some workplaces, it's customary to tell your manager in person that you're resigning, then follow up with a formal email. In other environments, sending the email is sufficient. Think about your workplace culture. If your company is very formal, email-first may be appropriate. If it's more relationship-focused, a quick in-person conversation followed by an email might feel more respectful. Either approach is acceptable as long as it's done professionally.

After sending the email, be prepared for a variety of responses. Your manager might want to meet with you immediately, might take a day to respond, or might handle things through HR. Some managers ask you to stay longer than two weeks, while others may ask you to leave sooner. Be flexible and professional in responding to whatever your employer decides, keeping in mind employment laws in your area may protect certain rights during the notice period.

Keep a copy of your sent resignation email for your records. This creates documentation of when you notified your employer and what you said. Save the email in a folder or print it out as a backup. This record is useful if any questions come up later about your departure date or obligations.

Practical Takeaway: Send your resignation email early in the workday on a weekday directly to your manager, and keep a copy for your records.
