Free Guide to Using Your Computer's On-Screen Keyboard

What Is an On-Screen Keyboard and Why You Might Use One

An on-screen keyboard is a virtual keyboard that appears on your computer screen. Instead of typing on a physical keyboard, you use your mouse, touchpad, or touch screen to click on letters, numbers, and symbols displayed as images on your monitor. Your computer has one built into its operating system, whether you use Windows, Mac, or Linux.

The on-screen keyboard serves several practical purposes. People with limited hand mobility or arthritis may find it easier to click on screen keys than to press physical keys. Those recovering from hand injuries or surgery can use the on-screen keyboard during their healing period. Some users prefer it when their physical keyboard breaks or becomes unavailable. Users with certain disabilities may find it pairs well with speech recognition software or eye-tracking technology.

Studies from the National Institute on Disability and Rehabilitation Research indicate that approximately 61 million adults in the United States have some type of disability, with many experiencing difficulty with traditional keyboard use. The on-screen keyboard represents one of several accessibility tools built into modern computer operating systems.

Unlike third-party keyboard applications you might download from the internet, the on-screen keyboard that comes with your computer requires no additional software installation. It's already part of your operating system. You won't need to worry about updates or compatibility issues beyond your regular computer maintenance.

Practical takeaway: Before exploring how to open the on-screen keyboard, consider whether this tool matches your current needs. It works best for users who can use a mouse or touchpad effectively and need to type occasionally or frequently without relying on a physical keyboard.

How to Open the On-Screen Keyboard on Windows Computers

Windows computers—including Windows 10, Windows 11, and earlier versions—include a built-in on-screen keyboard. The steps to open it vary slightly depending on which version of Windows you use, but the process remains straightforward.

For Windows 10 and Windows 11, the most common method is to use the search function. Click the Windows Start button (usually located in the bottom left corner of your screen), then type "on-screen keyboard" into the search box. When the On-Screen Keyboard application appears in the search results, click it to open the keyboard on your screen.

An alternative method for Windows users involves the Settings menu. Open Settings by right-clicking the Start button and selecting "Settings," or by pressing the Windows key plus the letter I. Navigate to "Ease of Access," then select "Keyboard" from the left menu. Look for the "Use the On-Screen Keyboard" option and toggle it on. This method varies slightly between Windows 10 and Windows 11, but both versions include this accessibility feature.

For users running Windows 7 or earlier versions, click the Start button, go to "All Programs," then "Accessories," then "Ease of Access," and finally "On-Screen Keyboard." This older menu structure differs from newer Windows versions, but the keyboard functions the same way.

You can also create a shortcut for faster access. Right-click on your desktop, select "New," then "Shortcut." In the location field, type "osk.exe" and follow the prompts to name and create the shortcut. Double-clicking this shortcut will open the on-screen keyboard without needing to search for it each time.

Practical takeaway: Most Windows users will find the search method fastest. Type "on-screen keyboard" into the Windows search box and pin the result to your Start menu or taskbar for even quicker access in the future.

How to Open the On-Screen Keyboard on Mac Computers

Mac computers call their on-screen keyboard feature "Keyboard Viewer" rather than "On-Screen Keyboard," but it serves the same basic purpose. Mac keyboards appear when you open this viewer, allowing you to see and click keys on your screen instead of your physical keyboard.

To open Keyboard Viewer on a Mac, click the Apple menu in the top-left corner of your screen and select "System Preferences" (on older Mac versions) or "System Settings" (on newer versions like macOS Monterey and later). Next, navigate to "Accessibility," then select "Keyboard" from the sidebar. Look for an option related to viewing the keyboard or enabling the keyboard viewer. Some Mac versions label this as "Enable Keyboard Viewer" or similar wording.

Another method involves the Input menu. If you have the Input menu enabled on your Mac, you can access it from the top menu bar. Look for a flag or other icon in the top-right area of your menu bar, click it, and select "Show Keyboard Viewer" from the dropdown menu.

For Mac users with recent operating systems, you may need to enable the Input menu first. Return to System Settings, find "Keyboard," look for "Input Sources," and add a new input source if the option isn't already visible in your menu bar. Once enabled, the keyboard viewer option becomes available through that menu.

You can also add Keyboard Viewer to your Dock for quick access. Open Keyboard Viewer using any of the above methods, right-click the icon in your Dock, hover over "Options," and select "Keep in Dock." From then on, you can open it by clicking the Dock icon.

Practical takeaway: Mac Keyboard Viewer is typically found through System Settings under Accessibility, then Keyboard. Once you locate it, add it to your Dock to avoid searching for it repeatedly.

Understanding the Layout and Basic Features of On-Screen Keyboards

On-screen keyboards display a visual representation of a standard computer keyboard. The layout resembles a QWERTY keyboard—named for the first six letters in the top typing row—which is the standard keyboard arrangement used in most English-speaking countries.

The keyboard is typically divided into several sections. The number row at the very top contains the numbers 0 through 9 and special characters like exclamation marks and dollar signs. Below that sits the main typing area, organized into four rows of letters. The bottom rows contain the spacebar, which is the longest key and the most frequently used, along with modifier keys like Shift, Control, and Alt.

Most on-screen keyboards include visual feedback when you click keys. The key you click may highlight or change color briefly, and the character appears in whatever program you're using (such as a word processor or email application). This feedback helps you confirm that your click registered correctly, which is particularly useful if you're learning the keyboard layout or have difficulty with precise mouse movements.

Special keys serve specific functions. The Shift key lets you type capital letters or access the upper symbols on number keys. The Caps Lock key locks your typing into capital letters until you press it again. The Backspace key deletes the character to the left of your cursor. The Tab key moves to the next field or indents text. The Enter or Return key moves to a new line or submits information in online forms.

Many on-screen keyboards can be resized and moved around your screen. You can drag the keyboard to a different location so it doesn't cover the text you're typing. You can often adjust its size by dragging the corners or edges, making keys larger if you have difficulty clicking small targets or smaller if you need more screen space for other content.

Practical takeaway: Spend time familiarizing yourself with the key locations and layout. Move and resize the on-screen keyboard to a comfortable position on your screen where it won't obscure the content you're working with.

Typing Efficiently With an On-Screen Keyboard

Typing on an on-screen keyboard requires different techniques than typing on a physical keyboard. The following strategies can help you type faster and with greater accuracy.

First, position the keyboard in a location where you can see both it and the text area where your typing will appear. Ideally, place it in a lower corner or along the bottom of your screen, leaving your main work area visible above it. This arrangement reduces the back-and-forth eye movement required to monitor your typing.

Mouse precision matters significantly when using an on-screen keyboard. Click directly in the center of each key rather than near its edges. This reduces the chance of missing your intended key and typing the wrong character. Moving your mouse deliberately and pausing slightly before clicking helps more than rushing to click multiple keys quickly.

Many on-screen keyboards offer word prediction or autocomplete features. As you type the
