Free Guide to Starting Your Fundraiser

Understanding the Fundraising Landscape

Fundraising is the process of collecting money from individuals, organizations, or businesses to support a cause, event, or organization. According to the National Council of Nonprofits, Americans donated approximately $471 billion to charitable causes in 2022, with roughly 27% coming from individual donors. This demonstrates that fundraising is an established and widespread activity across the country.

Fundraisers take many forms. Some are small community events like bake sales or car washes. Others are large-scale campaigns run by nonprofits, schools, or religious organizations. Individuals also start fundraisers for personal causes, such as medical expenses, disaster relief, or educational goals. The basic principle remains the same: asking supporters to contribute money toward a specific purpose.

Before starting a fundraiser, it helps to understand what type of fundraising matches your needs. Are you raising money for a nonprofit organization, a school club, a personal emergency, or a community project? Each type has different considerations and approaches. A school fundraiser might focus on parents and community members. A nonprofit campaign might target major donors, grant-making organizations, and the general public. A personal fundraiser might center on friends, family, and social networks.

The fundraising landscape has changed significantly with technology. Online fundraising platforms now account for a growing share of donations. The Fundraising Effectiveness Survey found that online giving to nonprofits grew by 8% annually from 2017 to 2022. However, traditional in-person fundraising methods remain effective and valuable, especially for building community connections and generating larger donations.

Practical Takeaway: Begin by identifying your fundraiser type and primary audience. Write down your goal amount, the cause you're supporting, and who you think might want to contribute. This foundation will guide every decision you make moving forward.

Setting Clear Goals and Creating a Budget

Every successful fundraiser starts with a clear goal. This means knowing exactly how much money you need to raise and what the money will be used for. Vague goals like "raise some money" lead to unclear campaigns that underperform. Specific goals like "raise $5,000 to purchase laptops for the youth center" give you a target to work toward and something concrete to communicate to potential donors.

When setting your goal, research actual costs. If you're fundraising for a specific project—like a field trip, medical treatment, community center renovation, or youth program—get detailed quotes or budget information. This shows donors that you've done your homework and that their contributions will be used thoughtfully. It also helps you set a realistic fundraising goal rather than guessing.

Creating a budget for your fundraiser itself is equally important. Some fundraisers generate revenue after expenses, while others cover all costs through donations specifically designated for that purpose. For example, if you're holding a pancake breakfast, you need to budget for ingredients, venue rental, supplies, and permits. Understanding these costs helps you determine what profit you'll actually make. If the event costs $200 in expenses and you hope to raise $1,000, your net fundraising goal is actually $1,200 in sales.

The S. R. Snodgrass Resource Center for Nonprofit Management found that nonprofit organizations that set specific fundraising goals and track progress toward those goals see 33% more donor retention than those without clear goals. This same principle applies to individual and community fundraisers. Donors want to know what they're contributing toward and whether the goal is being met.

Break your overall goal into smaller milestones. If you need $5,000, celebrate reaching $1,000, $2,500, and $4,000. These smaller victories build momentum and show progress to supporters. Updates showing progress also encourage additional giving, as people tend to contribute more when they see momentum and believe a goal is achievable.

Practical Takeaway: Write down your total fundraising goal, itemize all costs associated with your fundraiser, and calculate what you actually need to raise after expenses. Then divide that number into three to five milestone goals and decide how you'll track and communicate progress.

Choosing Your Fundraising Method

The method you choose for fundraising should match your goal amount, audience, timeline, and available resources. There is no single "best" method—different approaches work for different situations. Understanding the options helps you select the most effective path.

Event-based fundraising includes activities like bake sales, car washes, pancake breakfasts, garage sales, auction events, and community festivals. These work well for medium-sized goals ($500 to $5,000) and build community involvement. The drawback is they require significant planning, coordination, and often volunteer labor. However, they create face-to-face connections and can be enjoyable community experiences.

Online fundraising platforms like GoFundMe, Facebook Fundraisers, and GiveWP allow you to post your cause and accept donations from anywhere. These platforms are effective for personal emergencies, medical expenses, and disaster relief. They have low upfront costs but typically charge a percentage of donations (usually 2-5%). Online fundraising works well for reaching people beyond your immediate community.

Direct solicitation involves asking individuals or organizations for donations. This might mean contacting family and friends, writing grant proposals for nonprofits, or approaching local businesses for sponsorships. Studies show that personal requests result in higher donation amounts than passive fundraising. According to research from the Fundraising Effectiveness Survey, direct mail and in-person solicitation generate 22% of nonprofit donations despite accounting for a much smaller portion of fundraising efforts.

Peer-to-peer fundraising asks supporters to fundraise on your behalf. For example, runners in a race might each collect pledges and donations from their networks. This expands your reach significantly—if 20 people fundraise, they're reaching 20 separate networks of potential donors. This method requires organization and clear instructions for participants.

Recurring or monthly giving programs invite supporters to contribute a small amount monthly. While building these takes time, they create predictable revenue and tend to increase lifetime giving. Many nonprofits report that monthly donors give 45% more over time than one-time donors.

Practical Takeaway: List three fundraising methods that seem realistic given your timeline, resources, and audience. For each, estimate how much you could realistically raise and how much time it would require. Choose the method that best matches your specific situation.

Building Your Fundraising Message

Your fundraising message is the story you tell about why this cause matters and why people should contribute. A strong message is clear, honest, and emotionally resonant. It answers the fundamental question: "Why should I give to this?"

Start by clearly stating the problem or need. Don't assume people know about your cause. Be specific. Instead of "we need money for our youth program," say "Our after-school program serves 150 students in a neighborhood with limited recreational resources, and we need to replace aging computer equipment so students can learn digital skills for future employment." This creates understanding and context.

Explain the impact your fundraiser will have. How will the money be used? What will change because of this fundraiser? Use concrete examples when possible. "Your $50 donation will provide one student with a laptop and software training" is more powerful than "donations support our program." People give to outcomes they can visualize.

Be transparent about your credibility and how money will be managed. If you're fundraising for a nonprofit, mention your tax status and how donations are tracked. If you're fundraising as an individual, explain your connection to the cause. If there are board members, organizational leadership, or community partners involved, mention them. This builds trust.

Tell stories. Research from psychology shows that narratives are far more persuasive than statistics alone. If you're fundraising for a medical cause, share a patient story (with permission). If you're raising money for a scholarship, share a student's background and dreams. Personal stories make abstract causes concrete and memorable.

Keep your message consistent across all platforms—your fundraiser page, social media, emails, and in-person conversations. Consistency builds recognition and reinforces your message. However, adapt the length and tone for different audiences. A text message might contain just your goal amount and a link, while an email can include the full story and impact information.

Practical Takeaway: Write a 1-minute version of your fundraising story that answers: What is the need? Why does it matter? How will donations help? What is your goal?
