Free Guide to Getting Police Reports Online

Understanding Police Reports and Where to Find Them Online

A police report is an official written record of an incident that law enforcement has investigated. These documents contain details about what happened, who was involved, witness statements, and the officer's observations. Police reports are created for many types of situations, including traffic accidents, theft, assault, property damage, and other incidents where police responded.

In the past, obtaining a police report required visiting a police station in person, waiting in line, and often paying fees. Today, many police departments and third-party services offer ways to retrieve reports online. According to a 2023 survey by the Police Executive Research Forum, approximately 65% of law enforcement agencies now offer some form of online report access or retrieval system. This shift means you may be able to obtain reports from your home computer without traveling to a physical location.

Different jurisdictions have different systems. Some police departments maintain their own online portals where you can search for and obtain reports directly. Others partner with third-party websites that aggregate reports from multiple agencies. A few jurisdictions still require in-person visits or phone requests. The type of report you need—accident report, incident report, or arrest report—may also affect where and how you can obtain it.

Understanding the landscape of available options helps you locate the report you need more efficiently. The method that works will depend on your location, the type of incident, and the specific police department involved. Most departments that offer online services have made the process straightforward, though the exact steps vary by location.

Practical Takeaway: Before searching, identify which police department handled your incident. This single piece of information—knowing the correct jurisdiction—is the most important factor in locating your report online.

How to Search for Police Reports Through Official Department Websites

Many police departments now host their own online report retrieval systems on their official websites. These systems typically allow you to search for reports using basic information like the incident date, report number, or the names of people involved. To use these systems, start by visiting the official website of the police department that responded to your incident.

Once on the department's website, look for sections labeled "Police Reports," "Public Records," "Records Request," or "Online Services." These sections are usually found in the main navigation menu or in a "Services" area. Some departments organize their online systems under "Community Services" or "Transparency Initiatives." If you cannot find the report retrieval section immediately, try using the website's search function to look for keywords like "reports," "records," or "FOIA" (Freedom of Information Act).

When you locate the online system, you will typically need to provide information about the incident. Common search fields include:

• The date the incident occurred
• The report number (if you have it)
• The street address or location where the incident happened
• Names of people involved in the incident
• The type of incident (accident, theft, vandalism, etc.)

After entering your search information, the system will display matching reports. You can then view the report details and, in many cases, obtain a copy through the same system. Some departments allow you to view reports immediately at no cost, while others may require a small fee to obtain an official copy. Fees typically range from $5 to $25, depending on the jurisdiction.

A significant advantage of official department websites is that the information is current and comes directly from the source. The National Association of Chiefs of Police reports that departments with online systems experience 40% fewer phone calls to their records departments, meaning they can process requests more quickly for all residents.

Practical Takeaway: Start your search on the official city or county website for the police department involved. Bookmark the page once you find the records system so you can return to it if needed in the future.

Using Third-Party Online Services to Retrieve Police Reports

When a police department does not offer its own online system, third-party websites may provide access to their records. These services aggregate police reports from multiple agencies across different states and regions. Some well-known platforms that offer police report retrieval include CriminalSearches.com, StateRecords.org, and similar services. These websites maintain databases of police records and make them searchable through a single interface.

Third-party services work by partnering with police departments and court systems to obtain copies of public records. They then organize these records in a searchable database. To use these services, you typically create an account, enter your search information, and the service retrieves the report from the appropriate agency's records. Some services charge a fee for this retrieval, which usually ranges from $10 to $50 per report, though prices vary.

One advantage of third-party services is convenience. Rather than visiting multiple police department websites, you can search several jurisdictions through a single platform. These services also sometimes offer faster processing times than contacting departments directly, since they have established relationships with records departments and streamlined submission processes.

However, there are important considerations. Third-party services are not government agencies, and they charge fees for their services. The quality and completeness of their databases varies—some services may have older records or incomplete information for certain regions. Additionally, you should verify that the service you use is legitimate and secure before providing personal information or payment.

When using third-party services, check whether they clearly disclose their fees, have user reviews from other customers, and explain their data privacy practices. Reputable services will have contact information, will explain how they obtain their data, and will provide customer support if you have questions about a report or transaction.

Practical Takeaway: Use third-party services only if the relevant police department does not offer online retrieval directly. Always verify the legitimacy of any third-party service before paying fees or sharing personal information.

Understanding Free Public Records and FOIA Requests

Police reports are generally considered public records in the United States, meaning they are open for anyone to view. This principle is based on the idea that government activities should be transparent and that citizens have a right to information about police investigations—with certain exceptions for ongoing cases or sensitive information.

The Freedom of Information Act (FOIA) is a federal law that gives people the right to request records from federal government agencies. Most states have their own versions called state FOIA laws or public records laws. These laws require government agencies, including police departments, to provide copies of public records upon request, usually at no cost or for a small administrative fee to cover copying and mailing expenses.

Many police departments will provide report copies for free or at minimal cost if you request them directly in writing or through their FOIA process. This route takes longer than online services—typically 5 to 20 business days—but it costs little or nothing. Some departments have forms specifically for public records requests that you can find on their websites. You fill out the form with details about the report you want, submit it, and the department sends you a copy.

The key advantage of FOIA requests is cost. While third-party services charge fees, requesting directly from a police department through FOIA processes usually results in minimal charges. However, the time required is longer. Additionally, certain types of information may be withheld under FOIA exemptions, such as information about an ongoing investigation, details that could identify minors, or sensitive personal information.

To make a FOIA request, look for the police department's public records request form on their website. If one does not exist, you can send a written request (by mail, email, or through their online form) to the records department. Include as much detail as possible about the report you want—the date, location, type of incident, and names of people involved. This information helps the department locate your report more quickly.

Practical Takeaway: If cost is a concern, contact the police department directly through their FOIA process rather than using a third-party service. The wait time is longer, but the cost savings are significant for most people.

What to Expect: Types of Police Reports and Information Included

Police reports come in different forms depending on the type of incident. An accident report, filed when vehicles collide, contains details about vehicle damage, injuries, driver information, witness statements, and the officer's assessment of fault or contributing factors. A theft report documents what was stolen, when it was discovered missing, the value of items lost, and any suspect information. A police incident report covers a broader range of situations and includes
