Free Guide to Forwarding Email in Gmail, Outlook, and Apple Mail

Understanding Email Forwarding Across Three Major Platforms

Email forwarding is a feature that automatically sends copies of incoming messages from one email address to another. This function works the same way across Gmail, Outlook, and Apple Mail—the systems receive your messages and redirect them to a different inbox you specify. Understanding how forwarding works on each platform helps you stay organized without missing important messages.

The core concept is straightforward: when someone sends an email to your primary address, the forwarding system creates a copy and sends it to your secondary address. Your original inbox still receives the message, and you now have it in two places. This means you can monitor multiple email accounts from a single inbox location, which many people find useful when managing work and personal communications or when using multiple email addresses.

Each email platform—Gmail (Google's service), Outlook (Microsoft's service), and Apple Mail (built into Apple devices and iCloud)—stores forwarding settings in different locations within their interfaces. The steps differ because each company designed their email system with a different layout and navigation structure. However, the underlying function remains identical: messages are copied to another address.

Before setting up forwarding, consider your security and storage needs. Forwarded messages take up space in both inboxes, so you may want to establish an organization system. Additionally, some forwarding arrangements may expose your email address to unintended recipients, so think about which addresses you trust with your messages.

Practical Takeaway: Forwarding is most useful when you want to consolidate multiple email accounts or transition from one email address to another while ensuring no messages are missed during the change.

How to Set Up Email Forwarding in Gmail

Gmail stores its forwarding settings in a location called "Settings," which you access through a gear icon in the upper right corner of your inbox. After clicking the gear, select "See all settings" from the dropdown menu. This opens Gmail's full settings page where forwarding and numerous other options are located. The forwarding section is labeled "Forwarding and POP/IMAP" and appears as one of several tabs across the top of the settings page.

To begin forwarding, you'll click "Add a forwarding address" in the Forwarding section. Gmail will ask you to enter the email address where you want messages sent. This address can be any valid email inbox—a work account, a personal account, or even an account on a different email platform like Outlook or Apple Mail. After entering the address, Gmail sends a confirmation email to that address. You must open that confirmation email and click a link inside it to verify the forwarding address. This verification step prevents people from mistakenly forwarding emails to the wrong address.

Once you've confirmed the forwarding address, you return to Gmail settings and choose what you want Gmail to do with messages. You have three options: forward emails and keep a copy in Gmail, forward emails and delete them from Gmail, or simply archive them after forwarding. Many people choose to keep copies in Gmail because it provides a backup, but if you're managing a very full inbox, deleting after forwarding saves storage space.

Gmail also allows you to set up filters to forward only certain types of messages. For example, you could forward only emails from your boss or only messages with specific words in the subject line. This selective forwarding happens through the "Filters and Blocked Addresses" section in settings. You create a filter based on sender, subject, keywords, or other criteria, and then choose forwarding as the action that filter takes.

Practical Takeaway: Gmail's confirmation step protects you from forwarding to the wrong address. Always check the confirmation email, even though it seems like an extra step.

How to Set Up Email Forwarding in Outlook

Outlook's forwarding feature works similarly to Gmail but is accessed through a different path. In Outlook's web version (Outlook.com or Office365), you click the gear icon in the upper right corner and then select "View all Outlook settings." From there, click "Mail" in the left sidebar, then "Forwarding" to see your forwarding options. If you use Outlook on your desktop (the installed application), the location differs—you'll go to File menu, then Options, then Forwarding.

In Outlook's forwarding section, you'll see a toggle switch to turn forwarding on or off. Once enabled, you enter the forwarding email address in the text field provided. Unlike Gmail, Outlook doesn't require you to confirm the forwarding address through a separate email—it accepts the address you enter and begins forwarding immediately. This makes the setup faster, but you should double-check that you've typed the address correctly since there's no verification step.

Outlook offers slightly different options than Gmail for what happens to your original message. You can choose to forward messages and keep a copy in Outlook, or forward and delete. Some versions also allow you to keep messages in your Inbox folder while forwarding them, which means you see them in both places simultaneously. This is useful if you want to stay aware of messages in your primary inbox while also having them elsewhere.

Outlook also supports rules for selective forwarding. You create rules through Settings, then Mail, then Rules. Rules work by looking at sender addresses, subject line keywords, message importance, or folder location. Once a rule matches incoming mail, you can set forwarding as the action. This allows you to forward only emails from specific people or with certain subject matter to designated addresses.

One additional feature in Outlook is the ability to set up conditional forwarding. You can forward messages to one address during business hours and another address during off-hours, or forward based on whether you mark a message as important. This level of customization helps people who need their urgent messages sent to a phone number through email-to-SMS services or to a colleague's inbox.

Practical Takeaway: Outlook's lack of confirmation email means you must be extra careful typing the forwarding address correctly, as errors won't be caught automatically.

How to Set Up Email Forwarding in Apple Mail and iCloud

Apple Mail forwarding works differently depending on whether you're using iCloud email or another email provider through Apple Mail. If you use an iCloud email address (@icloud.com, @me.com, or @mac.com), you set up forwarding through iCloud.com on any web browser. Log into iCloud.com, click the Mail icon, then the Settings gear in the lower left corner. Look for the "Forwarding" option in the settings menu. Here you can add a forwarding address, and iCloud will send a confirmation email just like Gmail does. You must confirm the address through the verification email before forwarding begins.

If you use a non-iCloud email account through Apple Mail (such as a Gmail account, Outlook account, or a work email), you cannot set up forwarding within Apple Mail itself. Instead, you must go to that email provider's settings. For example, if you're checking Gmail through Apple Mail, you'd log into Gmail.com and set up forwarding there using Gmail's process. Apple Mail is a reading application—it displays emails from various accounts but doesn't control their forwarding settings. The forwarding settings belong to the email provider, not the application you use to read the messages.

For iCloud forwarding, you have the option to forward and keep copies or forward and delete, similar to other platforms. You also can choose to forward only to certain addresses and add multiple forwarding addresses if you want copies sent to several inboxes. However, iCloud doesn't offer advanced filtering for selective forwarding based on sender or subject—all incoming messages get forwarded equally.

An important note for Apple Mail users: if you're forwarding from an email account that isn't iCloud-hosted, and you're reading it through Apple Mail on your computer or device, setting up forwarding through the original provider's website (not in Apple Mail) is your only option. Some users expect Apple Mail to have forwarding controls, but Apple Mail functions as an email reader and organizer, not as the service that controls where messages go.

For iCloud users with multiple email addresses or aliases, you can set up forwarding for each one separately. Each address can forward to the same location or different locations depending on your needs. This is useful if you use different email addresses for different purposes but want them all to arrive in one central inbox.

Practical Takeaway: Clarify which email provider you use before looking for forwarding settings. Apple Mail reads email but doesn't control forwarding—your email provider does.
