Free Guide to Creating Breakout Rooms in Zoom

Understanding Zoom Breakout Rooms: What They Are and How They Function

Breakout rooms in Zoom are separate virtual spaces that split participants into smaller groups during a video meeting. When a host creates breakout rooms, the main meeting pauses, and attendees move into their assigned smaller sessions. Each breakout room operates independently with its own video, audio, and screen sharing capabilities. This feature works on Zoom's desktop application, mobile app, and web client, making it accessible across different devices.

The main meeting host remains in control and can see all breakout rooms simultaneously through a management panel. Participants in each breakout room can communicate freely without disturbing the larger group. The host can send messages to all breakout rooms at once, set a timer for how long rooms stay open, and end the sessions to bring everyone back to the main meeting. Zoom supports up to 100 breakout rooms in a single meeting, though most organizations use between 2 and 10 rooms for practical purposes.

Breakout rooms became increasingly popular during the pandemic when organizations shifted to remote work and learning. According to Zoom's usage statistics from 2023, approximately 40% of Zoom meetings with more than 4 participants utilized breakout room functionality. Educational institutions reported using breakout rooms in about 60% of their classes, as the feature helps divide large lectures into manageable discussion groups. Corporate training sessions use breakout rooms to facilitate small-group problem-solving and team-building activities.

The technical foundation of breakout rooms relies on Zoom's cloud infrastructure. When you create a breakout room, Zoom's servers allocate bandwidth and processing resources to maintain separate audio and video streams. This distributed approach means that breakout room quality remains consistent even when the main meeting has hundreds of participants. The rooms use the same encryption standards as the main meeting, so security remains consistent across all spaces.

Practical takeaway: Breakout rooms work best when you have a clear objective for splitting the group. Whether you're running a training session with 50 people or a classroom with 100 students, breakout rooms transform one large, potentially overwhelming meeting into multiple focused conversations. Understanding that breakout rooms operate as independent spaces while remaining under the host's supervision helps you plan how to use them effectively.

Step-by-Step Instructions for Creating Breakout Rooms

Creating breakout rooms in Zoom involves a straightforward process that takes just a few minutes. Before you start a meeting, you need to verify that your Zoom account has breakout room permissions enabled. Most standard Zoom accounts include this feature by default, but if your organization uses custom settings, your administrator may need to activate it. Once you start or join a meeting as a host, look for the "Breakout Rooms" button in your meeting controls toolbar at the bottom of the screen.

Click the "Breakout Rooms" button to open a menu showing three options: "Create," which appears as the primary choice; "Edit," which allows you to modify existing rooms before participants join; and "Open All Rooms," which becomes available after you've created rooms. When you click "Create," a dialog box appears asking you to specify the number of rooms you want to establish. You can select anywhere from 2 to 100 rooms. Zoom then presents options for how to assign participants: you can let Zoom automatically distribute people evenly, assign people manually yourself, or let participants select their own rooms.

The automatic assignment feature distributes participants randomly across the rooms you've created. If you create 4 breakout rooms and have 20 participants, Zoom places 5 people in each room. This random distribution works well for activities where diversity of perspectives matters, such as brainstorming sessions or general discussion groups. Manual assignment gives you complete control over who goes where. You see a list of all participants and can drag names into specific rooms based on skill level, project assignment, language preference, or any other criteria relevant to your activity.

For team breakout work, you might manually assign people based on their department or project. In an educational setting, teachers often create mixed-ability groups by manually assigning students. The self-selection option lets participants choose which room to join from a list. This works well when you have distinct topic areas and want people to select based on interest. For example, if you're running a training session covering three different software tools, you might create three rooms and let participants choose which one matches their skill level or interest.

After you assign participants, click "Create" or "Open All Rooms" (depending on your chosen settings). If you've selected manual or self-selection assignment, you'll see a confirmation screen showing the room assignments. You can adjust assignments at this point by dragging participants between rooms or removing them. Once satisfied with the assignments, click "Open All Rooms." Participants see a notification that breakout rooms have opened and a countdown timer showing how many seconds they have before moving to their assigned room. Most participants auto-join within 10 seconds, though they can manually join if needed.

Practical takeaway: The entire process from clicking the breakout rooms button to launching the rooms typically takes 1-3 minutes. Start with the automatic assignment option if you're new to this feature—it removes the complexity of manually assigning people and works well for most situations. As you gain experience, you can experiment with manual assignment to create groups tailored to your specific objectives.

Assigning Participants and Customizing Room Settings

Once you understand the basic creation process, customizing your breakout room setup becomes your next skill. Before opening rooms, you can adjust several settings that affect how the rooms function. In the Breakout Rooms dialog, you'll find an "Edit" button that opens additional options. These settings include the duration timer, which specifies how long breakout rooms stay open before automatically closing. You can set this anywhere from 1 to 60 minutes, or leave it unlimited if you prefer to manually close rooms when discussions conclude.

The "Allow participants to return to the main session at any time" option is turned on by default. This setting lets people leave their breakout room early and rejoin the main meeting if they need to reference something or if they finish their task ahead of schedule. Disabling this option forces participants to stay in their assigned room for the full duration. Most hosts keep this enabled because it provides flexibility, though some educational scenarios require keeping groups together for the full period.

Another important setting is "Automatically move all participants to assigned breakout rooms." When enabled, this setting forces participants into their rooms after the countdown timer ends. When disabled, participants see an invitation to join their room but can choose not to join. Most situations work better with this setting enabled, as it ensures everyone moves into their assigned space. However, if you want participants to remain in the main room until they're ready, you can disable this.

For manual participant assignment, Zoom provides several organization methods. You can sort the participant list by name, join time, or role (host, co-host, participant). This sorting helps when assigning people strategically. For instance, sorting by join time might show you which participants arrived early versus late, which you could use when creating groups for time-sensitive discussions. You can also use the search function to quickly find specific participants if your meeting has many attendees.

When assigning participants manually, consider these strategies based on your goals. For balanced discussions, distribute people evenly by ensuring each room has similar numbers of participants. For skill-building, create groups where more experienced people can mentor newer team members. For project work, group people who need to collaborate on the same deliverable. For language practice, you might group people by proficiency level. These strategic assignments require knowing your participants beforehand, which works well in recurring meetings or established team settings.

Practical takeaway: The assignment method you choose should match your meeting's purpose. Automatic assignment provides speed and prevents bias, making it ideal for general discussions. Manual assignment takes more time but delivers better results when you have specific grouping objectives. Set your timer based on the task complexity—simple icebreakers might need only 5 minutes, while complex problem-solving could need 15-20 minutes.

Managing Breakout Rooms During Your Meeting

After you launch breakout rooms, your role as host shifts from setup to active management. The main meeting screen displays a panel showing all your breakout rooms and the names of participants in each. You can see real-time information about who's in which room and get quick access to join any room temporarily to monitor discussions or provide input. The management panel shows a status icon next to each room indicating whether participants are actively speaking or if the room is quiet.
