Delete Multiple Emails in Outlook at Once Guide

Why Bulk Deletion Matters When Managing Your Outlook Inbox

Your Outlook inbox can accumulate hundreds of emails over weeks and months. Even small inboxes with just promotional newsletters, old project threads, and archived conversations add up quickly. When you face a list of 50 emails from a single sender, or 200 messages from a mailing list you no longer read, deleting them one by one becomes tedious and time-consuming.

Bulk deletion—removing multiple emails in a single action—serves several practical purposes. First, it frees up storage space. Microsoft Outlook users typically have mailbox limits (around 50GB for most accounts). When your inbox nears this limit, performance slows. Messages take longer to load, search functions become sluggish, and you might hit synchronization errors. Second, a crowded inbox makes finding current, important messages harder. When you wade through hundreds of old messages, actionable items get buried. Third, bulk deletion reduces the cognitive load of managing your email. Rather than making individual decisions about each message, you can group similar messages and remove them as a batch.

Understanding the different ways to select and remove multiple emails at once—rather than relying on one-at-a-time deletion—changes how efficiently you maintain your account. Whether you're cleaning out years of archived messages or removing an influx of notifications you no longer need, bulk methods work faster and require fewer clicks.

Takeaway: Deleting multiple emails simultaneously is not just faster—it's a maintenance strategy that keeps your inbox functional and your account performing well over time.

The Basic Selection Method: Check Boxes and Multiple Selection

The most straightforward way to delete multiple emails at once in Outlook involves selecting several messages using checkboxes, then triggering the delete action. This method works in both the desktop version of Outlook (versions 2019, 2021, Office 365) and Outlook on the web.

In Outlook desktop (Windows or Mac), open the folder containing emails you want to delete. On the left side of each email subject line, you'll see a small checkbox. Click the checkbox next to the first email you want to remove. Then, hold down the Shift key on your keyboard and click the checkbox next to the last email in a continuous range. This selects all emails between those two points. If the emails aren't consecutive—say you want to delete message #2, #5, and #8—use Ctrl (on Windows) or Command (on Mac) and click each checkbox individually to select non-consecutive messages.

Once you've selected your emails, several deletion options appear. You can press the Delete key on your keyboard, or look for a trash icon in the toolbar at the top of your message list. Right-clicking your selection also opens a context menu with a "Delete" option. The deleted emails move to your Deleted Items folder, where they remain for 30 days before Outlook permanently removes them (though your administrator may have changed this retention period).

In Outlook on the web, the process mirrors the desktop version. Each message shows a checkbox on the left. Check the boxes for messages you want to remove, and a toolbar appears offering delete, move, and flag options. Click the trash icon to send selected messages to Deleted Items.

Takeaway: Using checkboxes and keyboard shortcuts (Shift for ranges, Ctrl/Command for individual selections) lets you select 5, 15, or even 50 emails in seconds rather than minutes.

Select All: Removing Every Message in a Folder at Once

Outlook offers a "Select All" function that marks every message visible on your current screen for deletion. This is useful when you're cleaning out a specific folder—such as a "Newsletters" folder containing years of promotional mail—and you want to remove all or nearly all messages without individually checking boxes.

In Outlook desktop, look for a checkbox in the column header (the very top of your message list, where the subject, sender, and date labels appear). Clicking this header checkbox selects every email currently visible in that folder. A notification bar typically appears, confirming the number of selected messages. In Outlook on the web, this checkbox appears in the same location and works identically.

One important caveat: "Select All" only marks messages visible in your current view. If your folder contains 500 emails but you're only viewing 50 at a time (due to pagination), clicking "Select All" selects only those 50. To work around this, some users scroll to the bottom of their message list to load all messages into memory before selecting all. Alternatively, Outlook sometimes offers a prompt asking, "Do you want to select all [500] items in this folder?" when you click Select All. Confirming this prompt selects every email in the folder regardless of what's currently displayed.

Once all emails are selected, delete them using the Delete key, the toolbar trash icon, or the right-click context menu. You'll receive a confirmation prompt asking if you're certain you want to delete the large batch. This safety feature prevents accidental mass deletion.

Takeaway: Select All is fastest for clearing out an entire folder, but verify the total count before confirming deletion to avoid removing messages you intended to keep.

Using Filters and Search to Find and Delete Targeted Groups

Sometimes you don't want to delete all emails in a folder—only those matching specific criteria. Outlook's search and filter features help you identify and remove particular subsets of messages in bulk. For example, you might want to delete all emails from a specific sender, all messages with a certain subject line, all emails older than a specific date, or all messages marked with a particular flag.

In Outlook desktop, use the search bar at the top of your mail interface. Type search criteria such as "from:sender@example.com" to find all messages from that sender, or "subject:project name" to locate emails about a specific project. Press Enter to search. Outlook displays only matching messages. Once the search results appear, click the Select All checkbox (in the column header) to mark all results, then delete them.

For more advanced filtering in desktop Outlook, use the View menu and select Filter options (availability varies by version). You can filter by sender, subject, date range, or message status (unread, flagged, etc.). After filtering, the message list shows only emails meeting your criteria. Select and delete these filtered results as a group.

In Outlook on the web, the search function works similarly. Type your search query in the search box, and Outlook returns matching messages. Use the checkbox to select all results, then delete. Outlook on the web also provides filter options in the sidebar, allowing you to narrow results by sender, date, or other properties.

A practical example: You subscribe to a daily digest email from a news service but no longer read it. You can search for emails from "digest@newsservice.com" sent before a certain date, select all matching results (perhaps 200 messages over the past year), and delete them in one action. This is far faster than manually selecting individual newsletter emails.

Takeaway: Search and filter functions let you pinpoint exactly which emails to remove, so you can delete large groups without risking deletion of important messages you want to keep.

Handling Special Cases: Folders, Subfolders, and Permanent Deletion

Bulk deletion in Outlook works slightly differently depending on where your emails are stored and how permanent you want the deletion to be. Understanding these variations helps you choose the right approach for each situation.

If you have created custom folders or subfolders for organizing emails, you can delete all messages in any of these folders using the same methods described above. Open the folder, select emails (using checkboxes, Shift+click, Ctrl+click, or Select All), and press Delete. These messages move to Deleted Items just as if they were deleted from your main Inbox.

The Deleted Items folder itself is important to understand. When you delete emails using the standard Delete key, they don't disappear permanently—they move to Deleted Items. To permanently remove emails, you have two options. First, navigate to your Deleted Items folder, select the emails you want to permanently remove, and press Delete again. Outlook then prompts you to confirm permanent deletion. Second, right-click selected messages in Deleted Items and choose "Permanently Delete" or "Hard Delete" (option names vary by version). This removes them from your mailbox entirely.
